JOB TITLE: HR MANAGER

Reporting To: Management / Head of Operations
Role Purpose:
To build and manage a structured, system-driven HR function that ensures the right people are recruited, properly onboarded, productively deployed, continuously developed and effectively retained across all supermarket branches.
KEY RESPONSIBILITIES – 10 POINTS
1. Recruitment & Manpower Planning
Plan branch-wise manpower requirements and manage the complete recruitment cycle from sourcing, screening and interviewing to selection and offer rollout. Maintain an active candidate pipeline for critical and high-attrition positions.
2. Joining & Structured Onboarding
Establish a standardized joining system including document verification, employee files, induction, role briefing, policy orientation and department allocation. Ensure every new employee completes the defined onboarding process.
3. Attendance, Leave & Shift Management
Implement and monitor systematic attendance, leave, weekly-off, shift, late-coming and absenteeism controls across all branches. Coordinate with Store Managers to maintain required manpower for every shift.
4. HR Policies, SOPs & Documentation
Develop, implement and periodically update HR policies, SOPs, employee records, letters, forms, registers and HR checklists. Ensure the same HR processes are followed consistently across all branches.
5. Performance Management System
Implement role clarity through Job Descriptions, KRAs/KPIs and periodic performance reviews. Work with Store Managers and Department Heads to identify performance gaps and establish corrective action plans.
6. Training & People Development
Identify skill and behavioural gaps and prepare a structured training calendar covering induction, customer service, product knowledge, selling skills, supervisory skills, leadership and managerial development.
7. Employee Engagement & Retention
Conduct employee engagement initiatives, recognition programmes, employee feedback meetings and retention discussions. Track attrition branch-wise and identify root causes with specific corrective actions.
8. Employee Relations & Discipline
Handle employee grievances, conflicts, misconduct, counselling and disciplinary matters professionally. Establish a systematic grievance-resolution and escalation mechanism while maintaining a healthy workplace culture.
9. Payroll, Statutory Compliance & HR Administration
Coordinate attendance inputs, salary processing, overtime, incentives, deductions, employee documentation and applicable statutory requirements. Ensure HR records and compliance documentation are accurate and updated.
10. HR MIS, Audit & Management Reporting
Maintain an HR Dashboard covering sanctioned vs. actual manpower, vacancies, recruitment status, attendance, absenteeism, attrition, payroll, training, performance and employee issues. Conduct periodic branch HR audits and submit action-oriented reports to management.

The HR Manager will be responsible for building a standardized Employee Life-Cycle System:
Manpower Planning → Recruitment → Selection → Onboarding → Deployment → Attendance → Performance → Training → Engagement → Development → Retention → Exit
The objective of the position is to move HR from “person-dependent administration” to a “process-driven people management system” across all supermarket branches.
