About the role:
The Executive - Administration will be responsible for overseeing all administrative functions to ensure smooth and efficient day-to-day operations across PrepLadder’s offices, studios, and facilities. This role requires strong leadership, organizational, and problem-solving skills to manage infrastructure, vendor relationships, travel logistics, and internal support systems. The ideal candidate is proactive, detail-oriented, and capable of handling high-pressure situations while maintaining operational excellence.
Responsibilities and Duties:
- Manage end-to-end office and studio operations, including infrastructure, housekeeping, and facility management.
- Supervise vendor contracts, procurement, and AMC renewals to ensure timely delivery and quality of services.
- Coordinate travel logistics, reimbursements, and accommodation for employees, faculty, and visiting stakeholders.
- Oversee security, inventory, and maintenance protocols across all physical assets and locations.
- Monitor administrative budgets and ensure cost-effective utilization of resources.
- Handle compliance with health, safety, and legal regulations related to workplace operations.
Requirements:
- Bachelor’s degree in Business Administration or a related field (MBA preferred).
- Proven experience in administrative or facility management roles.
- Excellent communication, negotiation, and vendor management abilities.
- Proficiency in MS Office and administrative tools.
- Ability to multitask, prioritize, and maintain high-quality standards under tight deadlines.
- Willingness to travel when required and work in a dynamic, fast-paced environment.
