About the Role
As an Associate Program at LIT School, you will be the hands-on support system for our challenge-based learning programs, working directly with Program Managers and Program Lead to ensure seamless program delivery. You’ll provide operational support, assist in feedback collection, and contribute to maintaining 100% program execution quality and student satisfaction ratings through effective coordination and support.
What You'll Do
Schedule & Sessions
- Execute daily schedules and ensure all sessions go live on time
- Set up classrooms and presentation decks before each session
- Make sure students are settled at least 5 minutes before a session starts
- Check in with mentors on any resources, materials, or refreshments they need
- Ensure no cohort is left unattended at any point
- Coordinate with the Program Manager to support full delivery of the program
Progress Tracking & Reporting
- Track daily attendance, leaves, and leaderboard scores
- Keep the dashboard updated with accurate student and session data
- Monitor student progress through Excel or a dashboard; whichever works best for you
- Collect feedback from every session and maintain organised records
- Flag and report all escalations to the Program Manager promptly
Student Support
- Handle student onboarding and offboarding
- Be the go-to person for student questions, concerns, and day-to-day needs
- Run regular check-ins to keep students motivated and engaged
- Support student projects and coordinate mentorship sessions
- Help the Program Manager plan extracurricular activities
Communications
- Send timely updates to students about schedules, sessions, and any changes
- Ensure feedback flows properly; from students to admin and admin to students
- Keep all interdepartmental communication (Design, Partnerships, etc.) professional via email and Slack
Operations & Logistics
- Source and arrange materials, resources, and props for sessions and activities
- Plan activity costs and keep the petty cash sheet updated in real time
- Coordinate with Admin and Operations for smooth day-to-day functioning
- Maintain accurate program documentation, reports, trackers, and records
- Ensure all documents are properly formatted before sharing
Industry & Quality
- Coordinate with industry experts for sessions, presentations, and assessments
- Provide logistical support for guest lectures and industry events
- Ensure sessions meet program quality standards and design specifications
Program Phase Guidelines
Learn
- Confirm sessions are locked and live on time
- Set up the deck and classroom before the session
- Check mentor needs; water is a must; ask about tea or coffee
- Students in seats 5 minutes early; no cohort left alone
- Stay in regular contact with the mentor throughout
Innovate
- Students must come prepared with material for mentor review
- Share session slots with students in advance
- Ensure students are actively seeking and receiving mentor feedback
- Track progress consistently; breaks should be individual, not group
Transform
- All presentations must be uploaded to the dashboard before the deadline; no upload, no presentation
- Make the session live so judges can access it and submit scores; verify all scores are in
- Check in with both judges and students throughout for any support needed
- Ensure judges leave the room before the P2P Transform session begins
- Feedback to be shared by the Program Manager
Important Notes
- Mark attendance on time; reports go to management daily at 11:50 PM
- Gap sessions should not be recorded unless taken by an external mentor
- At least one team member must be present during any outing
- All expenses must be logged accurately and the petty cash sheet updated in real time

- Coordination: Comfortable coordinating with senior leaders, teams, and external experts
- Learning Methodology: Familiar with challenge-based or experiential learning environments
- Student Engagement: Has worked with students directly and kept them engaged
- Quality Mindset: Knows how to maintain quality and follow structured processes
- Industry Exposure: Has supported industry partnerships or expert collaborations
- Tech Comfort: Comfortable using ed-tech tools, dashboards, and digital platforms
