Role Description The Secretary at We Are Spine will provide day-to-day administrative support to the medical and management team in an on-site, full-time role based in Mumbai. Responsibilities include managing calendars, scheduling patient appointments, organizing meetings, and maintaining accurate records and files. The role involves handling phone calls, emails, and front-office queries, supporting patient registration and documentation, and coordinating with internal departments to ensure smooth clinic operations. The Secretary will prepare and format letters, reports, and presentations, assist with basic billing and data entry, and ensure that confidential information is handled in line with organizational policies. This role requires professionalism, attention to detail, and a service-oriented approach to supporting both patients and internal stakeholders.
Qualifications
- Candidates should possess strong clerical skills, including filing, data entry, record management, and basic document preparation.
- Candidates should possess effective communication skills, including clear verbal and written communication and professional phone and email etiquette.
- Candidates should possess knowledge of company secretarial work, such as managing documentation, maintaining compliance records, and organizing official correspondence.
- Candidates should possess executive administrative assistance capabilities, including calendar management, meeting coordination, and travel or logistics support.
- Candidates should possess customer service skills, including patient-facing interaction, handling inquiries, and resolving issues in a courteous and timely manner.
- Proficiency with office software (e.g., word processing, spreadsheets, email, and scheduling tools) and familiarity with medical or clinic management systems is beneficial.
- Strong organizational skills, attention to detail, confidentiality, and the ability to multitask in a fast-paced healthcare environment are required.
- A relevant diploma or bachelor’s degree and prior experience in a healthcare or medical office setting are
