We are looking for a responsible and detail-oriented HR Executive / HR Generalist who can manage day-to-day human resources operations, maintain accurate employee documentation, support management with timely information, and ensure that HR processes are completed in a professional and structured manner.
Role Overview
The HR Executive will support the complete employee lifecycle, including recruitment coordination, onboarding, employee documentation, attendance and leave administration, performance appraisal documentation, employee engagement, payroll inputs, separation formalities, and management reporting.
This is a hands-on HR operations role requiring strong ownership, confidentiality, accuracy, follow-up, and coordination with employees, managers, department heads, and company management.
Key ResponsibilitiesRecruitment and Joining Coordination
- Coordinate recruitment activities, including job postings, candidate screening, interview scheduling, follow-ups, and maintaining recruitment records.
- Coordinate with hiring managers to understand open positions, required skills, experience, and joining timelines.
- Maintain updated candidate trackers and provide recruitment status reports to management.
- Prepare and issue offer letters, appointment letters, confidentiality agreements, and other pre-employment documents.
- Follow up with selected candidates regarding document submission, notice periods, joining dates, and onboarding requirements.
- Conduct reference and background verification wherever required.
Onboarding and Employee Documentation
- Manage the complete onboarding process for new employees.
- Collect, verify, organize, and maintain employee documents and personnel files.
- Prepare employee codes, joining documentation, induction schedules, policy acknowledgements, and onboarding checklists.
- Coordinate with IT, Administration, Reporting Managers, and other departments for system access, assets, email creation, seating, and induction.
- Ensure that all mandatory joining formalities are completed within the defined timelines.
- Maintain accurate digital and physical employee records in the HRMS or ERP system.
- Monitor probation periods and coordinate confirmation reviews with reporting managers.
HR Letters and Employee Lifecycle Documentation
- Prepare and issue employment-related letters, including:
- Offer letters
- Appointment letters
- Probation confirmation letters
- Salary revision letters
- Appraisal letters
- Promotion and designation-change letters
- Transfer letters
- Warning and disciplinary letters
- Experience and relieving letters
- Full-and-final settlement documentation
- Ensure all letters are accurate, properly approved, issued on time, and securely maintained.
- Maintain templates and registers for all employee-related communications and documents.
Attendance, Leave and Payroll Support
- Monitor employee attendance, leave, work-from-home records, late arrivals, regularization requests, and related HR transactions.
- Follow up with employees and managers for pending attendance or leave approvals.
- Prepare accurate monthly payroll inputs, including attendance, leave, new joiners, exits, salary revisions, incentives, deductions, reimbursements, and other applicable components.
- Coordinate with the payroll or finance team to ensure timely and accurate salary processing.
- Review payroll-related employee queries and coordinate their resolution.
- Maintain records related to statutory benefits, employee insurance, deductions, and other applicable benefits.
Day-to-Day HR Operations
- Assist employees and managers with HR policies, attendance, leave, documentation, appraisal, benefits, and workplace procedures.
- Monitor pending HR activities and ensure timely closure through regular follow-ups.
- Maintain employee master data, organizational information, reporting structures, and departmental records.
- Coordinate employee birthdays, work anniversaries, recognition activities, internal events, and engagement initiatives.
- Support disciplinary, grievance, performance improvement, and employee-relations processes in coordination with management.
- Maintain confidentiality while handling employee information and sensitive organizational matters.
- Ensure HR policies and procedures are consistently followed across departments.
Management Information and Reporting
- Provide accurate employee and HR information to management whenever requested.
- Maintain updated HR dashboards and trackers covering recruitment, onboarding, attendance, leave, attrition, performance reviews, employee documentation, and pending HR actions.
- Submit a structured bi-weekly HR report to management.
- Highlight pending approvals, recruitment delays, documentation gaps, attendance concerns, employee issues, policy deviations, and other areas requiring management attention.
- Prepare monthly and ad-hoc reports based on management requirements.
- Ensure that reports contain accurate information, clear observations, responsible owners, target dates, and recommended actions.
Bi-Weekly HR Report Coverage
The bi-weekly HR report should include:
- Current employee headcount
- New joiners and upcoming joiners
- Employees under probation
- Pending employee confirmations
- Open positions and recruitment status
- Offers issued, accepted, declined, or pending
- Employee exits and notice-period status
- Pending onboarding documents
- Attendance and leave exceptions
- Payroll-related pending items
- Appraisal and performance-review status
- Training and employee-engagement activities
- Employee concerns or grievances
- Pending HR letters and approvals
- Policy deviations and compliance concerns
- Key HR actions completed during the period
- Priorities and planned activities for the next two weeks
Qualifications and Experience
- Bachelor’s degree in Human Resources, Business Administration, Management, or a related field.
- MBA or postgraduate qualification in Human Resources will be preferred.
- Approximately 4–6 years of relevant experience in HR operations or an HR generalist role.
- Prior experience working in an IT services, consulting, software, ERP, or technology organization is preferred.
- Practical experience in recruitment, onboarding, employee documentation, attendance, leave, payroll inputs, performance appraisals, and separation processes.
- Strong knowledge of HR documentation and employee lifecycle processes.
- Experience using HRMS, ERP systems, Microsoft Excel, Word, PowerPoint, and reporting tools.

The candidate must be able to maintain accurate records, identify pending actions, communicate concerns at the appropriate time, and ensure that employee-related activities are completed in accordance with company policies and timelines.
