E & S FOOD TECHNOLOGIES PVT LTD.

Job details:
We supply and install food processing machinery for customers across India, working with machinery manufacturers in Italy and across Europe. Our business is pasta production: complete plants on a turnkey basis — extrusion lines, dryers, raw-material handling and silo systems, and dies — delivered, installed and commissioned on the customer's site. Our engineers spend most of their time on project sites. Our office team is small, and management is close to the daily detail.
HR has not been owned end to end here before, and it is being built now. That is why this role matters more here than the title usually suggests. We're looking for one person to hold two things together: confidential executive support to management, and the HR coordination that keeps a growing company's records straight.
There is a third part to it. You would be the General Manager's representative here in India — the person on the ground in Thane acting on her behalf day to day, keeping her informed, and being a constant helping hand. That is a position of real trust, and it is the part of the job that makes the rest of it matter.
What you'll be doing
Executive support
- Managing calendars, meetings and daily schedules for management
- Organising domestic and international travel — itineraries, bookings, documentation
- Screening and drafting correspondence; preparing agendas, presentations and minutes of meeting
- Chasing action items across departments until they're actually closed
HR coordination
- Keeping employee records and signed contracts accurate and complete
- Tracking contract status, issuing drafts as instructed, filing signed copies
- Scheduling probation and performance reviews, and collecting the forms
- Building and running the onboarding and offboarding checklists
- Supporting payroll inputs and statutory administration, including provident fund
Office and team coordination
- Running the shared team calendar and the company mailbox
- Being the first point of contact for colleagues and for the engineers on site, and staying in daily touch with them
- Keeping shared folders organised, and drafting company guidelines for approval
- Simplifying and automating processes rather than just operating them
What we're looking for
- 2–5 years as an Executive Assistant, Personal Assistant, Executive Secretary or Administrative Executive
- Bachelor's degree in Business Administration, Commerce, Management or similar
- Some exposure to HR administration — records, onboarding, contracts or payroll coordination — or genuine readiness to take it on
- Excellent written and spoken English; working Hindi or Marathi is useful for vendor and site coordination
- Comfortable in structured record systems, not just spreadsheets. We keep our employee register in a database tool and we'll train you on it
- Strong organisation, and the ability to hold several threads at once without dropping any
- Complete discretion. This role sees salary, contract and management information
Experience in a manufacturing, engineering or project-based company is a real advantage — you'll pick up the rhythm of the work faster.
What matters most
Follow-through. Management needs to hand something over and not think about it again until it comes back done.
And communication. You should genuinely enjoy being in touch with people every day. Our engineers are spread across customer sites around the country, and this role keeps in contact with them, with the office and with management daily. If you would rather work quietly on your own, this is not the job for you — but if you like being the person who knows what everyone is doing and holds it all together, you'll do well here.
What you can expect from us
- A role with real scope, in a company small enough that your work is visible
- Direct working relationship with senior management from day one
- Exposure to international projects and the people behind them
- Room to build processes where none exist yet, rather than inheriting someone else's
Practical details
- Location: S2-19, 2nd Floor, Dosti Shoppe Imperia, Opp. R Mall, Manpada, Ghodbunder Road, Thane (W) 400607, Maharashtra
- Working days: Monday to Saturday, with the 1st and 3rd Saturdays off
- Working hours: 9:30 a.m. to 6:30 p.m.
