Position Overview:
SkyWaltz is seeking a highly organized, discreet, and proactive Executive Assistant to support the Chief of Staff and Chief of Flight Safety. This role sits at the intersection of business development, government liaison, safety compliance, and large-scale event execution — it requires someone comfortable operating across fast-moving, high-stakes workstreams simultaneously, not a standard calendar-and-correspondence EA role.
Key Responsibilities:
- Manage the Chief of Staff's calendar, multi-state travel, and scheduling across business development, government engagements, and safety operations
- Prepare briefing documents, presentations, and reports for government meetings, board updates, and strategic reviews
- Track B2G outreach, pending approvals, and follow-ups with state tourism departments and government stakeholders across multiple states
- Support safety and compliance documentation workflows (DGCA-related paperwork, safety reporting cadence, audit prep)
- Assist with large-scale event and festival execution — vendor coordination, timeline tracking, on-ground logistics support
- Act as a liaison between the Chief of Staff and internal teams, government offices, and external partners, exercising judgment on what requires escalation
- Conduct research to support pitches, government engagement, and decision-making
- Maintain strict confidentiality across commercially sensitive and government-related information
- Maintain a live tracker of pending payments, approvals, and outstanding stakeholder commitments (e.g., government dues, MOUs)
Qualifications:
- Bachelor's degree or equivalent experience
- Prior experience supporting a senior executive, ideally in a role touching government relations, aviation, tourism, or a regulated industry
- Exceptional organizational skills with the ability to track multiple parallel workstreams without dropping details
- Strong written communication — must be able to draft government correspondence and executive-level briefs
- Proficiency in MS Office/Google Workspace; comfort with basic project trackers (Notion, Excel-based trackers, or similar)
- Ability to work independently, exercise discretion, and operate in a fast-paced, sometimes ambiguous environment
Preferred Skills:
- Prior exposure to government liaison work, public sector sales cycles, or B2G processes
- Familiarity with aviation, tourism, or events industry operations
- Comfortable handling sensitive/confidential material at a government-facing level
- Strong follow-through — able to chase pending items (payments, approvals, signatures) to closure without repeated prompting
