About the Role
We are looking for a dynamic and hands-on Events & Experiential Manager who can conceptualize, plan and execute high-quality events across M.I.C.E., sports, corporate events, brand activations and experiential marketing.
The ideal candidate should be equally comfortable taking a client brief and developing a concept, preparing an execution plan and budget, managing vendors and production, and being on-ground to deliver the event.
A strong vendor ecosystem across India and international markets is essential for this role, particularly across fabrication, production, AV, entertainment, décor, logistics and experiential requirements.
Key Responsibilities1. Event Conceptualization & Ideation
- Understand client briefs, objectives, target audiences and budgets.
- Develop innovative event concepts, themes, experiences and formats.
- Conceptualize events across M.I.C.E., sports, corporate, entertainment and brand activation platforms.
- Develop event flow, participant/audience journeys and experiential elements.
- Create initial concepts, presentations, proposals and pitch decks in collaboration with the internal team.
- Identify opportunities to integrate brands, sponsors and partners into events.
2. Event Planning & Project Management
- Take complete ownership of events from briefing to execution and closure.
- Develop detailed event plans, timelines, production schedules and checklists.
- Coordinate with internal teams, clients, venues, partners and vendors.
- Prepare and manage event budgets, estimates, quotations and purchase requirements.
- Ensure projects are delivered within agreed budgets, timelines and quality standards.
- Identify potential operational risks and develop contingency plans.
3. Production & On-Ground Execution
- Lead end-to-end production and execution of events.
- Manage fabrication, branding, set-ups, stage, décor, AV, lighting, sound, structures and other production requirements.
- Conduct venue recce and develop venue-specific execution plans.
- Manage event build-up, rehearsals, event-day operations and dismantling.
- Be hands-on during event days and take ownership of troubleshooting and last-minute requirements.
- Ensure compliance with venue, safety, statutory and operational requirements.
4. Vendor Management & Network Development
- Maintain and continuously expand a strong vendor network across India and international markets.
- Have an existing network of reliable fabricators, production houses, AV companies, event agencies, decorators, logistics partners, manpower agencies, entertainment suppliers and experiential vendors.
- Source, evaluate and negotiate with vendors based on quality, capability, timelines and commercial viability.
- Develop multiple vendor options for key requirements to ensure competitive pricing and execution flexibility.
- Conduct vendor audits and maintain a database of preferred vendors.
- Build long-term strategic relationships with vendors across major Indian cities and key international markets.
5. M.I.C.E. & Corporate Events
- Plan and execute conferences, corporate offsites, incentive programmes, exhibitions, gala dinners, award nights, launches and other M.I.C.E. programmes.
- Work closely with travel, hospitality, production and destination partners.
- Manage event logistics and experiential requirements for domestic and international programmes.
- Develop destination-specific event concepts and experiences.
6. Sports Events & Properties
- Support and manage execution of sports events, leagues, tournaments and sports IPs.
- Understand sports event requirements including venue operations, athlete/player requirements, spectator experience, branding and production.
- Develop fan engagement zones, sponsor activations and experiential elements.
- Coordinate with sporting bodies, teams, athletes, venues, broadcasters and other stakeholders where required.
- Support development and execution of new sports IPs and event formats.
7. Client & Stakeholder Management
- Act as the key point of contact for assigned projects.
- Understand client expectations and translate them into executable event solutions.
- Present concepts, budgets and execution plans to clients.
- Maintain strong relationships with clients and partners.
- Manage multiple stakeholders and ensure timely communication and approvals.
8. Commercial & Financial Management
- Prepare project budgets, BOQs and vendor comparisons.
- Negotiate commercial terms with vendors and service providers.
- Monitor project profitability and cost efficiencies.
- Track project expenses against approved budgets.
- Ensure timely vendor closures, documentation and project financial reconciliation.
- Identify opportunities for cost optimization without compromising event quality.

- Entertainment and artist management

Candidates with an established and demonstrable vendor ecosystem will be strongly preferred.

Qualifications
- Graduate / Postgraduate in Event Management, Hospitality, Marketing, Mass Communication, Business Management or a related discipline.
- 6–10 years of relevant experience in event management, M.I.C.E., experiential marketing or sports events.
