Chief of Staff to the Founder

The Role
Mélange Digital is looking for a Chief of Staff to the Chief Executive Officer who can turn the way we currently operate into a scalable operating system for the next stage of the business.
This is not a traditional assistant or coordination role.
You will work directly with the CEO across governance, operations, commercial administration, systems, management reporting and executive effectiveness. Your job is to make the business more organised, measurable and less dependent on individual intervention.

Mélange Digital is a destination marketing agency working with national tourism organisations, destination marketing organisations and travel brands across Asia, the Middle East, Europe and Africa.
We deliver celebrity and creator-led destination campaigns, branded entertainment formats, performance marketing and answer engine optimisation for the Indian source market.
Our clients include Singapore Tourism Board, Hong Kong Tourism Board, Saudi Tourism Authority, Yas Island Abu Dhabi and Zambia Tourism.
We operate from Goa and Mumbai, with representation across Singapore, the UAE, the UK and Zambia.
We are building for significant growth, and that requires stronger systems, sharper execution and an organisation that can scale beyond individual intervention.
What You'll Own1. Governance & Operating Rhythm
Build and maintain the operating rhythm that keeps the business aligned and accountable.
You will:
- Run the weekly leadership review with a published agenda and documented actions
- Own the monthly business review
- Coordinate the quarterly objectives and key results cycle
- Maintain the organisation chart and reporting lines
- Ensure actions have clear owners and deadlines
- Follow up and escalate when commitments are not met
2. Commercial Operations: Award to Cash
Build a reliable commercial workflow from winning the business through to collecting the money.
You will:
- Build and maintain standard contract and proposal templates
- Establish and maintain a written delegation of authority matrix
- Document the workflow from contract award through execution, invoicing and collection
- Maintain the commercial register
- Track awarded work through execution and ensure commercial actions happen on time
3. Systems & Data Integrity
Create a single source of truth across the organisation.
You will:
- Establish the project management system as the single system of record
- Ensure every active campaign has one consolidated master record
- Identify and retire duplicate trackers
- Build and maintain standard operating procedures across principal functions
- Ensure systems remain current, accurate and usable after implementation
4. Management Reporting
Turn business data into information leadership can actually use.
You will:
- Produce the monthly management performance pack
- Report on revenue, gross margin, utilisation, pipeline and headcount
- Reconcile reporting with accounting and CRM systems
- Produce quarterly objectives and key results reporting
- Provide written commentary on material variances
- Build reporting from unstructured operational data where required
5. Executive Effectiveness
Help the CEO spend more time where his time creates the greatest value.
You will:
- Manage the CEO's calendar against an agreed allocation between business development, client relationships and internal matters
- Prepare the CEO for external meetings with the required research, context and briefing
- Track commitments made by the CEO and ensure they are followed through
- Accept, decline and reschedule meetings within agreed parameters
- Ensure executive priorities translate into action across the organisation
6. Growth & Strategic Projects
The role will also support the CEO on high-priority growth initiatives, business development and strategic projects.
You may be asked to:
- Research new markets, clients and opportunities
- Support business development and outreach
- Prepare research, briefs and decision documents
- Coordinate strategic initiatives across functions
- Take ambiguous problems and turn them into structured plans and measurable outcomes
The expectation is simple: don't just identify the problem. Help make sure it gets solved.
Decision-Making Authority
This role is designed to operate with real authority, not simply responsibility without control.
You will be authorised to independently:
- Commit expenditure up to an agreed monthly and per-transaction limit
- Issue contracts from the approved template library below the agreed contract value
- Accept, decline and reschedule meetings on behalf of the CEO
- Set agendas for internal meetings
- Enforce agreed deadlines across departments, with escalation rights
- Close, reassign and archive records within the project management system
You will recommend to the CEO for approval:
- Pricing on new proposals
- Scope variations on live engagements
- Contracts above the agreed value threshold
- Appointments, terminations and remuneration decisions
Specific financial limits and approval thresholds will be confirmed in writing within the first week of employment.
What You BringEssential
- 3–7 years of experience in management consulting, business operations, agency operations, a Founder’s or CEO's Office, or general management
- A demonstrated record of designing and implementing a process or system that continued to work after you moved on
- Evidence of securing compliance with processes across functions without direct line authority
- Strong financial and operational analysis skills, including the ability to build reporting from unstructured source data
- Precise written communication and strong documentation skills
- Strong organisational and follow-through skills
- Comfort working with senior leadership and handling confidential information
- Willingness to be based in Goa.
Desirable
- Experience in professional services, marketing or media
- Familiarity with Zoho or comparable CRM, accounting and project management platforms
- Exposure to international client engagements or public-sector clients
- Experience supporting business development, growth or strategic outreach
Formal qualifications are not a requirement.
