Role Description The Executive Assistant will provide comprehensive administrative and operational support to senior leadership in a full-time, on-site role based in Mumbai. Day-to-day responsibilities include managing calendars, scheduling meetings, coordinating travel arrangements, preparing meeting agendas and minutes, and handling confidential correspondence. The role also involves organizing expense reports, maintaining records and documentation, and ensuring timely follow-up on action items and executive priorities. The Executive Assistant will act as a key communication liaison, screening calls and emails, coordinating with internal teams and external stakeholders, and helping streamline workflows and decision-making. The position requires a proactive, detail-oriented professional who can anticipate needs, manage multiple tasks efficiently, and support leaders in a fast-paced auction and luxury collectible environment.
Qualifications
- Strong Executive Administrative Assistance and Executive Support skills, including calendar management, meeting coordination, and task prioritization.
- Proficiency in Administrative Assistance, such as document preparation, record-keeping, and office organization.
- Experience managing Expense Reports and basic financial tracking for executives or leadership teams.
- Excellent Communication skills, with the ability to interact professionally with internal teams, clients, and external partners.
- High level of discretion and integrity when working with confidential information.
- Strong organizational and time-management abilities, with attention to detail and accuracy.
- Comfort with productivity tools and office software (e.g., email, calendars, spreadsheets, presentation tools).
- Prior experience supporting senior leaders, preferably in auction, art, luxury, or related industries, is an advantage.
- Bachelor’s degree or equivalent professional experience in business administration, arts management, or a related field is preferred.
