The Tracking Tower Executive will be responsible for end-to-end coordination and monitoring of vehicles placed against orders received from the sales team and clients. The role requires close coordination with Sales, Fleet, Drivers, Clients, Other GTA partners and Accounts to ensure timely vehicle placement, loading, dispatch, tracking, unloading and complete POD documentation.
Key Responsibilities
1. Order & Vehicle Placement Management
Receive and post orders received from various Sales Executives on BlackBuck.
Record all orders accurately in the prescribed Order Sheet.
Coordinate with the Fleet/Operations team for vehicle placement against confirmed orders.
Once the vehicle number is received, immediately share the vehicle details with the relevant client through the designated client WhatsApp group/contact.
Ensure that the vehicle reaches the client's designated loading point on time.
In cases where the client is another GTA and G2G is not issuing its own Lorry Receipt, obtain and share the required Loading Slip along with freight details with the client.
2. Sales & Order Record Maintenance
Maintain a physical Sales Register and record daily sales/order details accurately.
Ensure that order, vehicle and freight information is updated regularly and without delay.
Maintain proper documentation and records for future reference and reconciliation.
3. Vehicle Tracking & Follow-Up
Record the actual dispatch/out time of every vehicle in the Tracking Sheet.
Maintain daily communication with drivers, preferably morning and evening, until the vehicle reaches the destination and is unloaded.
Track vehicle movement and proactively identify delays or deviations.
Keep clients and seniors informed regarding the status of vehicles wherever required.
Ensure timely escalation of any operational issue affecting delivery.
4. Transit Issue & Exception Management
Immediately report any accident, breakdown, detention, route issue, delay or other emergency to the concerned senior/Operations Manager.
Inform the client at the earliest in case of any significant incident affecting their consignment.
Maintain proper records of incidents and follow up until the issue is resolved.
5. POD & Documentation Management
Collect the POD (Proof of Delivery) from the driver through WhatsApp immediately after unloading.
Collect the original physical POD along with all relevant supporting documents through hand delivery or courier.
Ensure that all PODs and supporting documents are complete, legible and properly maintained.
Maintain a POD Collection Register recording the status of every POD.
Be responsible for collection and submission of all PODs and relevant documents for vehicles placed by the company, whether for corporate clients or retail/Other GTA clients.
Submit the complete set of collected PODs and relevant documents to the Accounts Department by the 3rd of every month.
6. Liquor Vehicle Compliance
For liquor consignments, ensure that the vehicle driver submits the required GPS/vehicle tracking records and other relevant documents to the concerned Government FLWH/authorities as applicable.
Follow up with the driver to ensure that all statutory and client-specific documentation is completed.

Timely escalation of breakdowns, accidents and delivery exceptions.

Submission of complete POD documentation to Accounts by the 3rd of every month.
Compliance with client and statutory documentation requirements.
Minimization of pending/untraced PODs and documentation gaps.
Required Skills & Competencies
Good communication and coordination skills.
Strong follow-up and tracking ability.
Basic knowledge of transportation/logistics operations.
Good working knowledge of WhatsApp, Excel/Google Sheets and basic computer applications.
Ability to maintain physical and digital records accurately.
Strong attention to detail.
Ability to handle multiple vehicles/orders simultaneously.
Proactive approach towards identifying and resolving operational issues.
Ability to work under pressure and meet strict timelines.
Preferred Experience
1–3 years of experience in logistics, transportation, fleet tracking, control tower, dispatch, operations or a similar role is preferred.
Freshers with strong communication, coordination and computer skills may also be considered.

The Tracking Tower Executive will have end-to-end responsibility for tracking every vehicle from order/vehicle placement until unloading and ensuring timely collection and submission of PODs and all relevant supporting documents.
