Job Title: Stores Executive Materials & Logistics

Role Overview
The Stores Executive manages daily inventory movements, the Goods Receipt Note (GRN) process, subcontracting material flows, and inbound/outbound logistics planning. This role ensures seamless material flow to support continuous production lines while adhering to automotive quality standards (IATF 16949 / ISO 9001).
Key Responsibilities
- Goods Receipt Note (GRN) Process
- Inbound Inspection & Receiving: Unload inbound raw materials, components, and accessories; verify physical stock against supplier delivery challans, purchase orders (POs), and packing lists.
- ERP Data Entry: Post Goods Receipts promptly in the SAP system
- Discrepancy Handling: Raise Goods Shortage Reports for damaged, missing, or non-conforming items, coordinating directly with Purchase and Quality Control teams.
- Storage & FIFO: Organize material put-away into designated bin locations adhering to FIFO (First-In, First-Out) and 5S standards in the warehouse.
- Subcontract Material Transactions:
Outsourcing Processes: Heat Treatment, ED Coating , Laser Welding and Special processes
- Outward Dispatch: Prepare sub-contracting job work challans (Annexure IV / GST-compliant challans) and dispatch raw materials/semi-finished parts to job workers/vendors.
- Inward Reconciliation: Receive processed components back from subcontractors, cross-reference against outward challans, and record parent-child material consumption in ERP.
- Stock Scrap & Scrap Tracking: Track material yield, process scrap, and wastage limits at vendor sites; ensure periodic stock reconciliation with job workers.
- Logistics & Transportation Planning
- Inbound & Outbound Coordination: Plan daily transport schedules for raw material collection and finished goods dispatch
- Logistics Documentation: Prepare e-Way bills, dispatch invoices, delivery challans, packing slips, and gate passes required for compliant transit.
- Transporter Management: Coordinate with third-party logistics (3PL) providers, negotiate daily vehicle arrangements, and optimize freight routing to minimize transit costs.
- Inventory Management & Audits
- Conduct periodic perpetual inventory counts, daily cycle counting, and monthly physical inventory audits.
- Maintain minimum-maximum inventory thresholds to prevent stock-outs on critical automotive lines.
Overall Summary
- Manage daily material receiving, storage and issuing.
- Check materials against PO, Invoice and Delivery Challan.
- Maintain accurate physical stock and store records.
- Perform regular physical stock counting and reconcile with SAP.
- Ensure proper Storage- rack/bin arrangement and material identification.
- Monitor stock levels, shortages, excess and damaged materials.
- Maintain GRN, issue, transfer and return records.
- Follow FIFO and proper inventory control procedures.
- Coordinate with Purchase, Production, Quality and Accounts.
- Basic knowledge of SAP and MS Excel is preferred.
