Role Overview
We are looking for an experienced Senior Resource – Sub-Contractor Agreements professional to manage and oversee the complete lifecycle of subcontractor agreements within the US staffing industry. The individual will be responsible for coordinating with subcontracting vendors, reviewing commercial and contractual terms, ensuring compliance with company policies, and supporting staffing operations from contract initiation through closure.
The ideal candidate should have strong knowledge of US staffing, subcontractor/vendor management, MSA/SOW agreements, rate negotiations, compliance requirements, onboarding, and contract administration.
Key Responsibilities
- Manage the end-to-end lifecycle of Sub-Contractor Agreements, MSAs, SOWs, Work Orders, and related contractual documents.
- Coordinate with subcontracting companies, staffing vendors, internal legal teams, sales teams, HR, finance, and compliance teams.
- Review subcontractor agreements for commercial, operational, and compliance requirements.
- Coordinate negotiations related to bill rates, payment terms, markups, termination clauses, indemnification, insurance, liability, non-solicitation, and other contractual provisions.
- Ensure agreements are executed within established timelines and company policies.
- Maintain accurate records of active, expired, renewed, and terminated subcontractor agreements.
- Track contract renewals, amendments, extensions, and expirations and ensure timely action.
- Validate vendor documentation, including applicable W-9s, COIs, business information, compliance documents, and other onboarding requirements.
- Work closely with Accounts Payable/Finance teams to resolve contractual and invoicing-related issues.
- Support vendor onboarding and ensure all required documentation is completed before resource deployment.
- Monitor subcontractor compliance with contractual obligations and internal policies.
- Review and validate subcontractor invoices against agreed rates, terms, and approved timesheets where applicable.
- Identify contractual risks, discrepancies, and potential compliance issues and escalate them appropriately.
- Maintain contract trackers, vendor databases, and documentation repositories.
- Prepare periodic reports on subcontractor agreements, renewals, pending contracts, compliance status, and vendor performance.
- Support audits and provide required contractual documentation to internal or external stakeholders.
- Develop and maintain standardized processes, templates, checklists, and SOPs for subcontractor management.
- Mentor junior team members and provide guidance on contract administration and vendor management processes.
Required Skills & Experience
- 5–10+ years of experience in US staffing, vendor management, subcontractor management, contract administration, or a related function.
- Strong understanding of the US IT staffing and subcontracting ecosystem.
- Hands-on experience managing MSA, SOW, Work Orders, Subcontractor Agreements, Vendor Agreements, and amendments.
- Strong understanding of contractual terms and commercial negotiations.
- Experience working with multiple subcontractor/staffing vendors simultaneously.
- Good knowledge of US staffing compliance and vendor documentation requirements.
- Strong communication and negotiation skills.
- Excellent attention to detail and ability to identify contractual discrepancies.
- Ability to manage multiple agreements and deadlines in a fast-paced environment.
- Strong Excel/Google Sheets skills and experience maintaining contract trackers.
- Experience working with ATS, VMS, CRM, contract management, or vendor management systems is preferred.
- Strong analytical, organizational, and problem-solving skills.
