Job Description – Production Planning & Control (PPC)

Role: PPC Executive / Senior Executive
Job Purpose
To effectively plan, coordinate and monitor production activities to ensure on-time delivery, optimum utilization of manpower and machines, efficient material availability, and adherence to production quality standards.
The role will coordinate closely with Merchandising, Purchase, Stores, Production, Quality, IE, Sampling and Dispatch teams to ensure smooth execution of production plans.
Key Responsibilities
1. Production Planning
- Prepare daily, weekly and monthly production plans based on confirmed orders and delivery schedules.
- Convert order requirements into detailed production plans considering style, quantity, fabric, trims, capacity and delivery dates.
- Prepare line-wise and process-wise production plans.
- Allocate production targets across manufacturing lines based on available capacity.
- Plan production according to SMV, line efficiency, manpower and machine availability.
- Ensure production plans are aligned with customer delivery commitments.
2. Material Planning & Availability
- Coordinate with Stores, Purchase and Merchandising teams to ensure timely availability of fabric, trims, accessories, labels, packing material and other inputs.
- Track material readiness against planned production dates.
- Identify material shortages or delays that may affect production.
- Maintain material requirement and availability reports.
- Follow up on pending materials and escalate critical shortages.
3. Production Monitoring
- Monitor actual production against planned quantities on a daily basis.
- Track plan vs. actual production at line/style/order level.
- Identify bottlenecks, delays and capacity constraints.
- Coordinate with production teams to take corrective actions.
- Monitor WIP at different stages of production.
- Ensure production schedules are revised when there are changes in priorities, materials or delivery requirements.
4. Capacity Planning
- Analyze available production capacity against order requirements.
- Prepare capacity utilization reports.
- Identify capacity gaps and recommend line balancing, overtime, additional shifts or outsourcing/subcontracting, wherever required.
- Coordinate with Industrial Engineering for line capacity and efficiency data.
- Monitor machine and manpower availability.
5. Coordination with Other Departments
- Work closely with Merchandising to understand order priorities and shipment requirements.
- Coordinate with Production for execution of the production plan.
- Coordinate with Quality to address quality-related production delays.
- Coordinate with Stores and Purchase for material availability.
- Coordinate with Industrial Engineering (IE) for SMV, capacity and line efficiency.
- Coordinate with Dispatch/Logistics to ensure finished goods are available as per shipment schedules.
6. Order & Delivery Management
- Track every order from material readiness to production completion and dispatch.
- Maintain order-wise production status.
- Highlight potential delays well in advance.
- Prepare recovery plans for delayed orders.
- Prioritize production based on delivery dates and business requirements.
- Ensure production completion within the committed timeline.
7. MIS & Reporting
Prepare and maintain regular reports including:
- Daily Production Plan vs. Actual
- Style-wise Production Status
- Order Status Report
- Line Loading Plan
- Capacity Utilization Report
- Material Availability Report
- WIP Report
- Pending Order Report
- Production Achievement %
- Delivery / Shipment Status
- Delay and Recovery Plan
8. Process Improvement
- Identify production planning inefficiencies and bottlenecks.
- Support initiatives to improve productivity, line efficiency and capacity utilization.
- Reduce idle time, waiting time and WIP.
- Improve production planning accuracy and schedule adherence.
- Participate in continuous improvement and cost-reduction initiatives.

Required Skills
- Strong knowledge of apparel/garment manufacturing processes.
- Good understanding of production planning and scheduling.
- Knowledge of cutting, sewing, finishing and packing processes.
- Understanding of SMV, line capacity, line balancing and efficiency.
- Strong Excel/Google Sheets skills.
- Knowledge of ERP/MRP systems is preferred.
- Good analytical and problem-solving ability.
- Strong follow-up and coordination skills.
- Ability to work under tight production and shipment deadlines.
- Good communication skills and ability to coordinate with multiple departments.
Educational Qualification
- Graduate in any discipline; B.Tech/B.E. in Textile, Apparel, Production or Industrial Engineering is preferred.
- Diploma/degree in Garment Technology, Textile Technology or Production Management is an advantage.
