📌 Job Opening – Personal Assistant to Managing Director
Experience - 2yr - 6yr
Job Purpose
We are looking for a highly proactive and trustworthy Personal Assistant to act as the Managing Director’s shadow. This role requires constant presence, discretion, and 24/7 availability. The PA will accompany the MD across all professional and personal engagements, ensuring seamless coordination, comfort, and security.
Key Responsibilities
- Shadow Role: Be with the MD day and night, across office, site visits, client meetings, social events, and personal functions.
- Travel Management: Handle all domestic and international tours; ensure upgrades, best arrangements, and smooth travel experiences.
- Meeting Follow‑up: Maintain records of meetings, track last Minutes of Meeting (MOM), and ensure timely follow‑up on action items.
- Scheduling & Coordination: Use MacBook and iPhone for calendar management, reminders, travel planning, and detailed coordination.
- Operational Shadow: Arrive before the MD to check arrangements, seating, security, and comfort.
- Confidential Guardian: Manage sensitive documents, contracts, and private communications with utmost discretion.
- Continuous Improvement: Recommend upgrades and improvements in travel, hospitality, and lifestyle arrangements for the MD.
- 24/7 Availability: Respond to urgent calls, last‑minute changes, and crisis situations.
Candidate Profile
- Background: Preferably from Real Estate or related industries; open to candidates from other sectors with strong exposure to senior leadership support.
- Young, energetic, and adaptable.
- Location: Must reside near Ghatkopar or Chembur (applications from other areas will not be considered).
- Skills:
- Strong organizational and multitasking ability
- Excellent communication and discretion
- Tech‑savvy (MacBook/iPhone for calendar, meetings, travel, and reporting)
- Ability to anticipate needs and stay one step ahead
- Proven ability to track MOMs and ensure follow‑ups
