About Imprint Staff
Imprint Staff is the back office that already speaks print. We place remote, print-fluent professionals - designers, estimators, order entry specialists, storefront administrators, account managers, and finance staff, directly into the operations of print, promo, signs, and apparel companies across the US. Our team doesn't need onboarding into what a proof, a setup fee, or a decoration method is. They already know.
About the Role:
We're hiring an Order Management & Estimating Coordinator to become an embedded extension of a client's operations team. This isn't a generic virtual assistant role, you'll be the person turning customer requests into accurate quotes, tracking orders from PO to production handoff, and making sure nothing falls through the cracks between sales and the shop floor.
You'll work directly inside the client's systems and workflows, becoming a true extension of their team rather than an outside vendor they have to manage.
What You'll Do:
- Build accurate quotes and estimates based on garment/product cost, decoration method, quantity breaks, setup fees, and turnaround requirements
- Process incoming orders and verify that POs match approved quotes before releasing to production
- Track orders through the full lifecycle: quote → approval → proof → production handoff → shipment → invoice
- Catch and resolve discrepancies (quantity mismatches, missing art, incorrect color codes) before they become production errors
- Communicate proactively with customers and internal teams to keep orders moving without delays
- Maintain clean, accurate records in the client's MIS/ERP or order management system
What You Bring:
- Hands-on experience in print, promotional products, apparel decoration, or signage - order entry, estimating, or production coordination
- Working knowledge of decoration methods (screen print, embroidery, DTG, digital, etc.) and how they affect pricing and turnaround
- Comfort with MIS/ERP or quoting platforms (e.g., PrintVision, EFI, Print Reach, Prospero, DecoNetwork, InkSoft, shopVOX, SAGE, ESP) exact platform experience isn't required, but you should recognize the category and workflow
- Strong attention to detail and comfort catching errors before they cost a client time or money
- Clear, professional written and verbal communication in English
- Reliable, quiet remote work setup and overlap with US business hours
