The Operations Executive will manage end-to-end Ocean Freight (FCL/LCL) and Air Freight operations while delivering exceptional customer service. The role is responsible for ensuring timely shipment execution, accurate documentation, effective stakeholder coordination, and compliance with company procedures and international trade regulations.
Key Responsibilities
Operations
- Manage export and import Ocean Freight (FCL/LCL) and Air Freight shipments.
- Coordinate with shipping lines, airlines, overseas agents, transport providers, customs brokers, and customers for smooth shipment execution.
- Arrange bookings, monitor shipment progress, and provide timely status updates.
- Prepare and process shipping documentation, ensuring compliance with customer requirements and international regulations.
- Maintain accurate shipment records and update the freight forwarding system.
- Process billing instructions, shipment costing, and operational documentation within agreed timelines.
- Resolve operational issues promptly and escalate when necessary.
- Ensure compliance with company SOPs, service standards, and operational KPIs.
Customer Service
- Act as the primary point of contact for customers regarding shipment enquiries and updates.
- Build strong customer relationships through proactive communication and timely issue resolution.
- Coordinate with internal teams, overseas offices, and network partners to ensure service excellence.
- Handle customer queries and complaints professionally while maintaining high service standards.
Compliance & Quality
- Ensure compliance with applicable customs and trade regulations, including AMS, ISF, VGM, and destination-specific requirements.
- Maintain accurate documentation and support internal quality and compliance initiatives.
- Contribute to continuous improvement of operational processes and customer service.
Candidate Requirements
Experience
- 3–5 years of experience in freight forwarding operations.
- Strong knowledge of Ocean Freight (FCL/LCL), Air Freight, and import/export operations.
- Experience in customer service within the freight forwarding or logistics industry.
Education
- Bachelor's degree in Logistics, Supply Chain Management, Business Administration, or a related field.
Skills & Competencies
- Sound knowledge of freight forwarding processes, shipping documentation, Incoterms, and customs procedures.
- Proficiency in freight forwarding systems and Microsoft Office applications.
- Strong communication, organizational, and problem-solving skills.
- Customer-focused with the ability to manage multiple priorities in a fast-paced environment.
- Team player with a proactive and detail-oriented approach.
Language
- Good written and spoken English.
Travel
- Willingness to travel occasionally as required for business operations.
