Job Title: Executive Assistant to Managing Director
Location: Bhilai (In-person, Full-time)
Role OverviewThe Executive Assistant (EA) to the Managing Director will serve as the central coordination point for all strategic, operational, and administrative matters related to the MD’s office. This is a high-responsibility role requiring strong ownership, discretion, and the ability to operate across business, legal, and on-ground execution tasks.
Key Responsibilities1. MD Office Management
- Provide end-to-end support to the Managing Director on daily priorities.
- Act as the primary point of contact for internal and external stakeholders.
- Manage and streamline all communications on behalf of the MD.
2. Calendar, Travel & Scheduling
- Plan and manage the MD’s calendar, meetings, and appointments.
- Coordinate travel itineraries, bookings, and logistics.
- Ensure efficient time management and prioritization of engagements.
3. Legal, Land & Compliance Coordination
- Assist in handling land, legal, and compliance-related matters.
- Coordinate with lawyers, consultants, government authorities, and vendors.
- Track documentation, filings, and follow-ups to ensure timely execution.
4. Task Execution & Follow-ups
- Track all tasks assigned by the MD across teams using tools like Google Sheets.
- Ensure timely follow-ups with HODs and stakeholders.
- Maintain accountability and visibility on key deliverables.
5. Documentation & Communication
- Draft emails, letters, agreements, contracts, and official documents.
- Maintain organized records of all important documents and communications.
6. Cross-functional Coordination
- Liaise between the MD and various departments, clients, and external partners.
- Ensure seamless execution of strategic initiatives and special projects.
7. Administration & Miscellaneous
- Handle office purchases and administrative requirements.
- Support in execution of ad-hoc tasks and high-priority assignments.
Required Skills & Qualifications- Strong written and spoken English communication skills.
- High proficiency in MS Office and Google Workspace.
- Strong internet research and AI tool usage skills.
- Excellent organizational, planning, and multitasking abilities.
- Ability to handle confidential information with discretion.
- Prior experience in a similar role or exposure to legal/compliance matters is preferred.
