Executive Assistant – Pali Plant

As SAN Automotive continues to grow, we are looking for an Executive Assistant who can help drive execution, improve coordination, and ensure operational discipline across the Pali Plant.
This is not a conventional administrative role. It is a high-impact position for someone who enjoys solving problems, managing multiple priorities, working closely with senior leadership, and ensuring that decisions are translated into measurable action.
About the Role
The Executive Assistant will work closely with the Director and Plant Leadership to improve execution, coordination, and accountability across departments.
The role requires someone who can independently manage follow-ups, coordinate cross-functional activities, prepare presentations and reports, track key action items, organize meetings, and ensure projects move forward on time.
The ideal candidate should be highly organized, detail-oriented, technology-driven, and comfortable working in a fast-paced manufacturing environment.
Key Responsibilities
Executive & Business Support
- Manage the Director’s calendar, meetings, travel plans, and daily priorities.
- Prepare agendas, Minutes of Meeting (MOM), and track action points until closure.
- Draft professional emails, presentations, reports, and business correspondence.
- Conduct research for customers, suppliers, competitors, and new business opportunities.
- Prepare management dashboards and weekly status reports.
Cross-Functional Coordination
- Coordinate with Production, Quality, Tool Room, Purchase, Stores, Maintenance, HR, Accounts, and NPD teams.
- Follow up on pending actions and ensure agreed timelines are achieved.
- Escalate delays and risks proactively to management.
- Assist in driving special projects assigned by senior leadership.
Business Operations
- Maintain project trackers, MIS reports, and department dashboards.
- Assist in preparing customer visit presentations and internal review meetings.
- Coordinate documentation, SOPs, and process improvements.
- Support recruitment coordination, onboarding activities, and employee engagement initiatives.
AI & Digital Productivity
- Use AI tools such as ChatGPT, Claude, Gemini, and Microsoft Copilot to improve productivity.
- Automate repetitive reporting and documentation wherever possible.
- Create structured templates, trackers, presentations, and reports.
Administrative Support
- Coordinate internal and external meetings.
- Maintain confidential records and important documentation.
- Organize travel bookings, hotel reservations, and meeting logistics when required.
- Support company events, customer visits, and leadership meetings.
Eligibility
- Bachelor’s degree in Engineering, Business Administration, Commerce, or a related field.
- 3–7 years of experience as an Executive Assistant, Business Coordinator, Executive Secretary, Project Coordinator, or Operations Executive.
- Experience in manufacturing or the automotive industry will be preferred.
Skills Required
- Excellent communication skills (written and verbal)
- Strong proficiency in Microsoft Excel, PowerPoint, and Word
- Excellent organizational and time management skills
- Ability to manage multiple priorities simultaneously
