Position SummaryWe are seeking a detail-oriented, experienced, and proactive Documentation Officer to manage post-sales client file preparation, documentation workflows, and visa application lodgements. The ideal candidate will possess hands-on expertise in handling permanent residency (PR), work permits, and tourist visa documentation for major Western destinations—specifically Canada, Australia, and Germany—along with proficiency in scheduling appointments at VFS Global and respective Embassies/High Commissions.
Key Responsibilities & Core Duties1. Visa & Immigration Documentation Management- PR & Work Visas: Manage end-to-end documentation for Canada PR, Australia PR, and Germany Work Permits, ensuring strict adherence to current immigration laws, checklists, and regulatory guidelines.
- Tourist & Visitor Visas: Handle comprehensive documentation, cover letter drafting, financial proof compilation, and application filing for tourist visas across all major Western countries (e.g., USA, UK, Canada, Australia, Schengen/European nations).
- Quality Control: Thoroughly audit client credentials, educational transcripts, employment reference letters, financial statements, and civil documents to ensure 100% accuracy before submission.
2. Post-Sales Client Management & Guidance- Client Coordination: Act as the primary post-sales point of contact for clients, guiding them step-by-step through the document collection and file compilation process.
- Visa Success Strategy: Counsel and guide clients on optimizing their profile strengths, gathering robust supporting evidence, and meeting stringent visa requirements to maximize the probability of visa success.
- Query Resolution: Address client queries regarding documentation timelines, visa formalities, and procedural updates with professionalism and clarity.
3. Embassy, VFS & Portal Operations- Appointment Bookings: Expertly navigate and manage online portal slots to book biometric and interview appointments at VFS Global centers and various Embassies/High Commissions.
- Application Lodgement: Handle online visa submissions, visa fee payments, submission of passport/courier dispatches, and tracking of active application statuses.
4. Multi-Tasking & Administrative Support- Maintain up-to-date physical and digital records (CRM/tracking sheets) of all assigned client files, tracking status milestones from initiation to decision.
- Coordinate with internal sales and counselling teams to ensure a smooth transition of clients from pre-sales conversion to post-sales processing.
- Handle diverse administrative tasks related to client file dispatch, translation coordination (if required), and compliance documentation.
Candidate Requirements & Qualifications- Experience: Minimum 2–4 years of proven work experience as a Documentation Officer, Visa Filing Expert, or Immigration Process Consultant within a reputed immigration/travel consultancy firm.
- Geographical Expertise: In-depth knowledge of immigration pathways, visa subclasses, and document checklists for Canada, Australia, Germany, and Western tourist destinations.
- Technical Skills: Hands-on experience with VFS booking systems, embassy submission portals, MS Office, and CRM/document management software.

- Exceptional written and verbal communication skills.
- Strong organizational skills with meticulous attention to detail.
- Ability to handle high-volume files under tight deadlines while maintaining client satisfaction.
