Position: Executive - Commercial
Role Overview
To support procurement operations by assisting in sourcing, vendor coordination, purchase processing, and follow-ups, ensuring timely and cost-effective availability of materials as per organizational requirements under the guidance of the Assistant Manager – Procurement.
Role Scope & Authority
- Assist in preparing and processing purchase-related documents (RFQ, PO, comparisons).
- Coordinate with vendors for quotations, order confirmations, and delivery follow-ups.
- Support in vendor identification and basic evaluation.
- Limited authority: Can coordinate and follow up, but approvals rest with the Assistant Manager or Sr. Manager – Commercial or higher authority.
- No independent financial approval authority unless specifically delegated.
Key Responsibilities (Non-Negotiable)
- Collect and compare quotations from multiple vendors.
- Prepare purchase orders as per approved requirements.
- Follow up with vendors for timely delivery of materials.
- Coordinate with store team for material receipt and verification.
- Maintain proper documentation of all procurement transactions.
- Assist in vendor registration and database maintenance.
- Track pending orders and update status regularly.
- Ensure compliance with company procurement policies and procedures.
- Support in resolving basic vendor-related issues (delivery delays, shortages, etc.).
Required Competencies
- Basic knowledge of procurement processes and documentation.
- Good communication and negotiation support skills.
- Proficiency in Google Sheets and basic ERP systems.
- Attention to detail and accuracy.
- Time management and follow-up skills.
- Problem-solving ability for routine issues.
- Team coordination and interpersonal skills
