About Futurenoid
Futurenoid is a technology experience and lifestyle destination opening at Ambience Mall, Gurugram — bringing together Consumer Technology, Smart Living, Mobility, and AI under one roof. It is not a catalogue; it is an experience, built for people to see, touch, and try the world’s most innovative intelligent technologies before they decide.
Intelligent Technology. Exceptional Experiences.
As an early-stage and growing organisation, we are building structured accounting, compliance, and administrative systems from the outset — and looking for someone to own that from day one.
Role OverviewWe are looking for a responsible, organised, technology-driven Accounts, Compliance & Administration Executive to independently manage day-to-day accounting, invoicing, banking coordination, import documentation, statutory compliance support, inventory records, and digital filing — using Zoho Books and the Microsoft 365 suite, including SharePoint.
Since the company is at an early stage, the accounting workload may initially be limited. The candidate will also take on day-to-day administration, vendor coordination, and operational support — and should be comfortable working with limited supervision, building structure rather than depending on informal processes.
What You’ll Do:
▪ Manage day-to-day accounting and bookkeeping in Zoho Books — recording transactions, reconciliations, and monthly/annual closing.
▪ Handle customer invoicing, billing, collections, and receivables follow-up.
▪ Manage vendor onboarding, purchase accounting, and payment processing.
▪ Coordinate foreign remittances and import documentation (Bills of Entry, Form 15CA/15CB, bank liaison) for overseas suppliers.
▪ Prepare landed-cost calculations and maintain inventory and SKU records across locations.
▪ Support GST, TDS, and statutory compliance, working closely with the company’s appointed professionals.
▪ Manage banking, payment approvals, petty cash, and cash-flow tracking.
▪ Coordinate payroll inputs, employee reimbursements, and related compliance records.
▪ Build and maintain a structured SharePoint filing system, and drive IT-enabled, paperless processes.
▪ Handle routine office administration, asset tracking, management reporting, and support during statutory audits and professional reviews.
A detailed responsibility document covering each of these areas is shared with shortlisted candidates.
What You’ll Need
▪ Strong practical knowledge of Zoho Books.
▪ Strong practical knowledge of Microsoft Office Suite and Microsoft 365.
▪ Practical working knowledge of Microsoft SharePoint.
▪ Strong Microsoft Excel skills.
▪ Knowledge of accounting, invoicing, GST, TDS, banking, payables, receivables, and reconciliations.
▪ Familiarity with import accounting and foreign-remittance procedures.
▪ Understanding of Bills of Entry, import IGST, customs documentation, and landed-cost calculations.
▪ Ability to use banking, tax, government, and compliance portals.
▪ Ability to maintain inventory and product records.
▪ Strong digital filing, documentation, and data-management skills.
▪ Good written and verbal communication.
▪ Strong organisation, coordination, and follow-up abilities.
▪ High level of accuracy, integrity, confidentiality, and ownership.
▪ Willingness to handle accounting as well as day-to-day administrative work.
Preferred Qualifications and Experience
▪ B.Com, M.Com, or an equivalent accounting qualification.
▪ Approximately 2–5 years of relevant work experience.
▪ Previous experience with an importer, distributor, retailer, electronics company, technology company, or trading business will be preferred.
▪ Previous experience using Zoho Books for inventory and import transactions.
▪ Experience handling foreign-remittance documentation and coordinating with banks.
▪ Experience working in an early-stage or growing company.
Ideal Candidate Profile
▪ An accountant who is also highly technology-oriented and IT-driven.
▪ Comfortable taking complete ownership of day-to-day accounts and records with limited supervision.
▪ Comfortable working in a paper-light or paperless environment, with SharePoint as the central repository for records.
▪ Proactive in creating trackers, templates, reminders, and approval systems, rather than depending on informal messages.
▪ Comfortable learning new accounting, ERP, CRM, inventory, and workflow applications.
▪ Dependable, organised, trustworthy, and willing to take on broader responsibilities as Futurenoid grows.
Role Clarification
The employee will be responsible for regular accounting, invoicing, documentation, payment coordination, inventory accounting, compliance preparation, SharePoint management, digital filing, reporting, and routine administrative work.
Matters requiring professional certification or specialised interpretation — including statutory audits, tax audits, Form 15CB certification, transfer pricing, complex FEMA matters, legal opinions, and company-secretarial certifications — will be handled or reviewed by the company’s appointed qualified professionals.
The employee will be responsible for coordinating with these professionals, providing complete and accurate records, implementing their instructions, and ensuring that routine accounting, documentation, and compliance requirements are completed on time.
Assessment & Process
Shortlisted candidates may be required to complete a practical assessment covering:
▪ Recording transactions in Zoho Books.
▪ Preparing a bank reconciliation.
▪ Preparing a GST-compliant customer invoice.
▪ Preparing an import landed-cost calculation in Excel.
▪ Preparing receivable and payable ageing reports.
▪ Organising documents in SharePoint.
▪ Creating an Excel tracker or basic dashboard.
▪ Explaining the documentation process for an overseas supplier payment.
▪ Identifying basic payment-fraud and cybersecurity risks.
Candidates with only theoretical knowledge of Zoho Books, Microsoft Office, or SharePoint may not be suitable for this position.
Reports You’ll PrepareAs part of routine reporting, you’ll regularly prepare:
▪ Profit and loss statement
▪ Balance sheet
▪ Cash-flow summary
▪ Bank reconciliation statement
▪ Accounts receivable ageing
▪ Accounts payable ageing
▪ Vendor payment report
▪ Import landed-cost report
▪ Inventory valuation report
▪ GST and TDS reconciliation report
▪ Foreign remittance tracker
▪ Bill of Entry tracker
