As we grow rapidly, we are looking for an organized, detail-oriented, and proactive Administration Executive to manage the day-to-day operations of our office and ensure a seamless workplace experience for employees and visitors.
Role Overview
This is a high-ownership role responsible for managing office administration, vendor coordination, facilities, employee support, and general operational activities. The ideal candidate is highly organized, proactive, and enjoys creating efficient processes that keep the organization running smoothly.
Key responsibilities:
Office Administration -
- Manage the day-to-day operations of the office.
- Handle procurement of office supplies, stationery, and IT assets.
- Coordinate with vendors, internet providers, and other service partners.
- Maintain office assets, inventory, and procurement records.
- Oversee facility maintenance and resolve office-related issues promptly.
- Maintain company records, contracts, insurance documents, and other administrative files.
Travel & Coordination -
- Arrange domestic and international travel, including flights, hotels, visas, and local transportation.
- Coordinate meetings, conference room bookings, and visitor management.
- Support the planning and execution of company events, team activities, and offsites.
Employee & Operations Support -
- Support employee onboarding and offboarding logistics.
- Maintain employee records and administrative documentation.
- Coordinate with HR on attendance, office policies, and employee facilities.
- Assist leadership with administrative tasks and special operational projects.
- Ensure compliance with office policies, safety standards, and administrative procedures.
Requirements -
- Bachelor's degree in Business Administration, Commerce, or a related field.
- 2–6 years of experience in office administration or operations.
- Strong organizational and multitasking abilities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and Google Workspace.
- Ability to work independently in a fast-paced startup environment.
- High level of ownership, integrity, and attention to detail.
Preferred Qualifications -
- Experience working in a startup or technology company.
- Experience managing vendors, procurement, travel, and office facilities.
- Ability to handle multiple operational priorities efficiently.
