As our café network grows, our supply chain and warehouse operations play a critical role in ensuring consistent product availability, accurate inventory, and timely distribution across all outlets.
Role Overview
We’re looking for an experienced Warehouse Manager to lead end-to-end warehouse operations at our Okhla facility.
This role will be responsible for receiving, storage, inventory management, order processing, picking, dispatch, stock reconciliation, manpower management, and warehouse compliance. You will play a key role in maintaining inventory accuracy, implementing FIFO/FEFO, controlling wastage and shrinkage, and ensuring timely and accurate supply to First Coffee cafés.
The ideal candidate is hands-on, process-oriented, data-driven, and comfortable managing a fast-paced, multi-outlet warehouse operation.
Key Responsibilties:
Warehouse Operations
- Manage day-to-day operations of the central warehouse at Okhla, including receiving, storage, picking, packing, and dispatch.
- Maintain systematic warehouse layouts, storage locations, documentation, and operational SOPs.
- Ensure all incoming and outgoing materials are accurately recorded and documented.
- Ensure uninterrupted and timely supply of products and consumables to First Coffee cafés.
Inventory Management
- Maintain high inventory accuracy through regular physical verification, cycle counts, and system reconciliation.
- Monitor stock levels and ensure minimum and maximum inventory levels are maintained.
- Track stock movement from receiving through final dispatch.
- Investigate stock variances, shortages, damages, and unexplained losses, and implement corrective actions.
- Maintain accurate records of opening stock, receipts, issues, transfers, closing stock, and adjustments.
- Coordinate with Finance/F&B Control for regular inventory reconciliation.
FIFO/FEFO & Product Control
- Implement and monitor strict FIFO and FEFO practices across the warehouse.
- Ensure expiry dates, batch details, and product conditions are checked before storage and dispatch.
- Maintain appropriate segregation of food ingredients, bakery products, coffee beans, packaging, cleaning chemicals, consumables, and non-food items.
- Identify and report near-expiry, expired, damaged, or rejected stock and ensure compromised material is not issued to cafés.
Receiving & Quality Checks
- Verify incoming materials against POs, invoices, GRNs, and approved specifications.
- Check quantities, packaging condition, batch numbers, manufacturing dates, and expiry dates.
- Coordinate with Procurement and Quality/F&B teams on shortages, rejections, damages, and non-conforming materials.
- Ensure proper GRN and documentation for every receipt.
Cafe Supply & Dispatch
- Ensure café orders are picked and dispatched accurately within defined timelines.
- Plan daily dispatches based on café requirements and monitor order fulfilment.
- Maintain high accuracy across picking, packing, and dispatch.
- Monitor urgent and emergency requirements from cafés and coordinate with Operations and Area Managers on shortages or delays.
- Track warehouse-to-store and inter-store transfers.
MIS & Reporting
- Prepare and share daily, weekly, and monthly reports covering stock, receipts, issues, café-wise dispatches, stock variance, damaged and expired stock, wastage, ageing, slow-moving inventory, pending purchase receipts, café requirements, dispatch status, and inventory accuracy.
- Track warehouse productivity and identify operational gaps through regular reporting and analysis.
Manpower Management
- Manage warehouse executives, helpers, loaders, and other warehouse staff.
- Plan manpower deployment and shift schedules based on operational requirements.
- Monitor attendance, productivity, punctuality, and workplace discipline.
- Allocate daily responsibilities and ensure timely completion of tasks.
- Train the team on warehouse SOPs, safety, material handling, and operational processes.
Cost & Loss Control
- Control warehouse operating costs and ensure efficient utilisation of space and manpower.
- Minimise stock damage, wastage, pilferage, and expiry-related losses.
- Investigate recurring stock variances and implement corrective measures.
- Monitor storage and handling practices to reduce product damage and unnecessary movement.
Hygiene Safety & Compliance
- Maintain high standards of warehouse cleanliness, hygiene, and housekeeping.
- Ensure appropriate pest-control and sanitation practices are followed.
- Ensure food and packaging materials are stored safely and hygienically.
- Maintain temperature-controlled storage wherever applicable.
- Ensure chemicals are stored separately from food products.
- Maintain relevant hygiene, safety, and housekeeping records and support internal and external audits.
Cross Functional Coordination
- Work closely with Procurement on purchase planning, supplier deliveries, shortages, rejections, and pending POs.
- Coordinate with Operations on café requirements, emergency supplies, store transfers, and service-level issues.
- Partner with Finance/F&B Control on stock reconciliation, GRN/invoice discrepancies, inventory valuation, and stock adjustments.
- Coordinate with Quality/Food Safety teams on product quality, expiry control, rejections, and food safety compliance.

Qualifications:
- 5–8 years of relevant experience in warehouse and inventory management, preferably within Café, QSR, Restaurant, FMCG, Food & Beverage, Retail, Hospitality, or Central Kitchen/Commissary operations.
- Experience managing a multi-location distribution network will be preferred.
- Graduate or Diploma in Supply Chain, Logistics, Operations, Commerce, or a related field.
- Strong understanding of warehouse operations, inventory control, FIFO/FEFO, and stock reconciliation.
- Strong Excel/Google Sheets skills; ERP/WMS experience preferred.
- Strong numerical, analytical, and problem-solving skills.
- Proven experience in manpower management and warehouse operations.
- Strong communication and cross-functional coordination skills.
- High level of discipline, accountability, and attention to detail.
