Position Overview:
We are seeking an experienced Construction Procurement Specialist to manage material and subcontractor procurement for our U.S.-based residential construction projects. This role will work closely with our Project Managers to source qualified vendors and trade contractors, prepare RFQs and bid packages, solicit and level competitive bids, negotiate pricing and terms, secure vendor and subcontractor agreements, issue and track purchase orders, monitor lead times, and expedite deliveries to keep projects on schedule.
Material procurement will focus primarily on U.S. residential building-envelope, rough-framing, and interior-finish materials, including lumber and framing materials, windows, doors and hardware, roofing and building-envelope materials, cabinets and millwork, countertops, flooring and tile, appliances, fixtures, and other finish materials.
The role will also support subcontractor/trade procurement, including identifying qualified contractors, soliciting and comparing bids, reviewing scope coverage and exclusions, negotiating pricing and terms, and assisting Project Managers with securing contracts for construction trades.
Candidates must have direct experience working with U.S.-based construction suppliers, vendors, and trade contractors and understand the procurement process from initial sourcing and bid solicitation through contract/purchase order and final delivery or mobilization.
This is a senior, hands-on position requiring immediate ownership from Day 1. We are seeking someone who already knows how to build and operate an effective construction procurement function.
This is not a training or developmental position.
The successful candidate will receive construction plans, scopes and material takeoffs from our Estimator and work directly with Project Management and Administration to source materials and trades, obtain and level quotations, negotiate pricing and terms, manage purchasing and deliveries, and proactively identify procurement risks.
Just as importantly, this person must implement the systems, processes, controls, technology and AI tools needed to operate procurement efficiently across multiple projects.
Responsibilities:
- Independently manage procurement activities across multiple U.S. residential construction projects.
- Review material takeoffs, scopes, specifications and construction documents for procurement completeness.
- Develop procurement packages and RFQs from approved takeoffs and scopes.
- Identify, qualify and maintain relationships with U.S.-based suppliers, manufacturers, distributors and subcontractors.
- Solicit multiple competitive quotations for materials and applicable trade packages.
- Analyze and level quotations to ensure pricing comparisons include equivalent scope, quantities, specifications, freight, taxes, lead times and terms.
- Negotiate pricing, lead times, payment terms, substitutions and other commercial terms.
- Prepare procurement recommendations for Project Manager approval.
- Coordinate preparation and processing of purchase orders.
- Maintain procurement schedules tied to required-on-site dates and construction schedules.
- Identify and actively manage long-lead materials before they affect construction.
- Track orders from approval through manufacturing, shipping and final delivery.
- Resolve shortages, damaged materials, incorrect shipments, backorders and delivery delays.
- Identify acceptable alternatives and substitutions when availability or lead times create project risks.
- Identify cost-saving opportunities and support value engineering.
- Track estimated cost, quoted cost, committed cost and actual procurement cost.
- Maintain organized vendor, supplier and historical pricing databases.
- Monitor supplier performance, pricing, responsiveness, lead times and delivery reliability.
- Proactively communicate procurement risks and recommended solutions before they affect project cost or schedule.
Systems, Processes & AIA major responsibility of this position is to build and implement Sunshine Management's procurement operating system, not simply work from an existing process.

- AI and automation tools that improve sourcing, quote analysis, vendor comparison, procurement tracking, reporting and workflow efficiency
Candidates should be prepared to explain what systems they have personally implemented previously and what they would implement at Sunshine Management during their first 30 days.
