About us:
VISAINFO is an Australian registered migration practice. We handle skilled, student and family visa work for clients across Australia and overseas. Our operations run on Migration Manager (LEAP) and the Microsoft 365 stack.
We are also launching PrepareBuddy, a new IELTS preparation and testing product. It is early stage and growing, and it needs someone to own the systems and the numbers behind it.
Who this role is for:
This is an entry to early-career role. We are hiring for aptitude, not for a checklist of years. If you are a recent graduate or have one to three years behind you, and you are the sort of person who learns a new system by pulling it apart rather than waiting for a training course, read on.
You will be trained on our platforms but will also be expected to upskill yourself. But you will be working remotely with a small Australian team, so you need to be self motivated, accountable and able to keep moving without someone standing over you.
What you will do:
Systems support. Learn and then administer Migration Manager (LEAP) and our Microsoft 365 environment: user permissions, templates, matter types, workflows and data hygiene. Build document automation, troubleshoot user issues, and run onboarding and refresher training for staff. Over time, take on reporting and automation work in Power BI and Power Automate.
PrepareBuddy support and ownership. You will hold super admin on the PrepareBuddy platform and be the first point of contact for anything operational: configuration, troubleshooting for staff and customers, and answering questions about how the system works and what the data shows. As you grow into the role you will take on the commercial side, helping model package structures and pricing tiers, tracking revenue against forecast, and flagging where margin is being lost. You will do this alongside the business owner at first and increasingly on your own.
Analysis and reporting. Assist with financial reports and statements, run cyclical internal audits, and build reporting on pipeline, conversion, matter ageing, invoicing and receivables. Investigate why the numbers move rather than just reporting that they did. Document processes that currently live in people's heads and write SOPs that staff will actually follow.
What we are looking for:
A degree or diploma in engineering, commerce, business, accounting, information systems, computer science or similar, or equivalent practical experience. Strong Excel skills are the one hard requirement. Everything else can be learned on the job if you bring the aptitude.
Comfort with numbers matters. You should be able to look at a set of figures and form a view about what they mean, not just format them.
We want someone who understands, or is prepared for, how a small growing business behaves. Priorities shift, the process often does not exist yet, and the person who succeeds here builds it rather than waits for it. You should be comfortable working to deadlines and hungry to solve problems rather than escalate them.
Strong interpersonal skills matter. You will be dealing directly with Australian staff and, on the PrepareBuddy side, with customers.
Advantageous, not required: any exposure to Power BI, Power Automate, Power Apps or SQL; internship or work experience in accounting, audit or bookkeeping; experience with any CRM or practice management platform; familiarity with IELTS or the study abroad sector.
