About The Madras Seva Sadan:
With a rich history of over 90 years, The Madras Seva Sadan is a prestigious institution in Chennai, dedicated to the holistic development of individuals aimed at producing self-supporting and self-reliant members of society. Its comprehensive approach includes a strong emphasis on education, sports and social welfare. The organisation has grown to encompass 12 units and employs more than 600 people.
Today, The Madras Seva Sadan comprises various prominent units such as the Lady Andal IB School, Sir Mutha CBSE School, Sir Mutha Venkatasubba Rao Concert Hall and The Madras Seva Sadan Higher Secondary School, to name a few units.
Who are we looking for:
The Madras Seva Sadan is seeking a motivated and experienced Stores Manager to join the organisation on a full-time basis. The Stores Manager will be responsible for overseeing the day-to-day operations of the stores, including procurement, material receipt and issue, inventory management, scrap management, and store maintenance across the organisation's various units. The role requires effective coordination with Unit Heads, Managers, vendors, and internal departments to ensure the timely availability, proper storage, accurate tracking, and efficient utilisation of materials.
Key Responsibilities:
1. Procurement & Vendor Management:
- Updating the vendor details.
- Bill processing as and when required and placing orders on a monthly basis.
- Identify and evaluate vendors based on quality, service, and pricing.
- Collect and consolidate material requirements from various units.
- Obtain quotations, negotiate prices, and process purchase orders.
- Coordinate with vendors for timely delivery.
- Verify invoices and maintain procurement records.
2. Issue of material:
- Issue the required materials to various units based on approved requests.
- Provide materials required for special events and important days.
- Supply day-to-day requirements to various units.
- Prepare and hand over the monthly material requirements to the respective units.
3. Inventory Management:
- Update stock records on a weekly basis.
- Check and monitor frequently used materials every fortnight.
- Check expiry dates of stored materials and take timely action to avoid wastage.
- Conduct physical verification of fixed assets annually.
- Maintain accurate records of stock and inventory.
4. Scrap Management:
- Collect and store scrap materials in designated areas.
- Review scrap materials regularly and identify items that can be reused.
- Dispose of scrap materials after obtaining approval from the concerned Unit Heads/Managers.
- Conduct physical verification of scrap annually.
- Maintain proper records of scrap collected and disposed of.
5. Store Maintenance:
- Store all materials in an organised and systematic manner.
- Ensure proper labelling and easy identification of materials.
- Maintain cleanliness and good housekeeping in the stores.
- Conduct regular checks to ensure the stores are clean, safe, and well maintained.
Skills and Qualifications:
- Bachelor's degree in any discipline is preferred; qualifications in Supply Chain Management, Logistics, Operations, Commerce, or a related field will be an advantage.
- Relevant experience in stores, warehouse, inventory, procurement, or materials management.
- Strong organisational, planning, leadership and time-management skills.
- Ability to coordinate effectively with multiple departments and stakeholders.
- Good vendor management and negotiation skills.
- Ability to work independently, take ownership of responsibilities, and ensure timely completion of tasks.
- Knowledge of Procurement, Issue of material, Inventory Management, Scrap Management, Store Maintenance.
