ABOUT KEIKingston Educational Institute (KEI) is a multi-disciplinary education group in West Bengal. Its institutions include Kingston Law College, Kingston College of Advanced Engineering & Management, Kingston Polytechnic College, Kingston School of Management & Science, Kingston College of Science, KET Nursing, Kingston Teachers' Training College and Kingston Model School, along with Kingston General Hospital. KEI's main campus is in Barasat, with a corporate office in Madhyamgram and branch offices in Tamluk, Agartala and Malda.
ROLE PURPOSEThe Senior Manager – Accounts & Finance will head the complete accounts and finance function across KEI's colleges, school, branch offices and Kingston General Hospital. This is a hands-on leadership role: the incumbent must be able to personally perform every accounting, statutory filing and reporting task, while leading a team of 7–10 accountants, cashiers and purchase executives. The role is accountable for accurate books, trust and society compliance (including 12A/12AB and 80G), timely statutory and financial payments, audit readiness, MIS reporting to management, and strong relationships with banks and financial institutions.
KEY RESPONSIBILITIES1. Hands-on Accounting & Statutory Filings
• Personally carry out, review and correct all entries in Tally Prime and the ERP: vouchers, receipts, payments and journals.
• Prepare and file GST returns (GSTR-1, GSTR-3B, GSTR-9/9C), reconcile input credit with GSTR-2B, and respond to GST notices.
• Compute, deposit and file TDS returns (24Q, 26Q), issue Form 16/16A, and resolve TRACES defaults.
• Calculate, pay and file PF, ESI and Professional Tax, and handle related inspections and queries.
• Step in for any team member's work during absences, peak periods or audits.
2. Accounts Finalisation & Audit
• Lead year-end finalisation for all entities: balance sheet, income & expenditure / P&L, schedules and notes.
• Prepare finalisation schedules, reconciliations and audit working papers directly, not only through the team.
• Coordinate statutory, internal and tax audits, and close audit observations within agreed timelines.
• Consolidate accounts across colleges, school, hospital and branch offices.
3. Accounts Receivable – Education & Hospital
• Oversee student fee collection, receivables tracking and reconciliation, including scholarships, education loans and refunds.
• Manage hospital receivables: patient billing, TPA/insurance claims, and corporate and government scheme dues.
• Maintain receivable ageing reports and drive follow-up on overdue amounts.
4. Accounts Payable & Financial Liabilities
• Control vendor payments, bill verification, expense approvals and vendor reconciliations.
• Work with the purchase team on purchase orders, GRNs and payment terms.
• Ensure timely payment of all financial liabilities, including loan EMIs, interest, lease and vendor dues.
5. Statutory Obligations & Salary Disbursement
• Ensure 100% on-time payment of statutory dues: GST, TDS, PF, ESI, Professional Tax and income tax.
• Manage monthly payroll accounting and on-schedule salary disbursement for teaching, non-teaching and hospital staff.
• Maintain financial records required by regulators and affiliating bodies (AICTE, MAKAUT, WBSU, INC and others).
6. Trust, Society & Income-Tax Exemption Compliance (12A/12AB, 80G)
• Maintain books of accounts in line with the trust deed / society bye-laws and applicable accounting requirements for charitable institutions.
• Manage registration, renewal and continued compliance under Sections 12A/12AB and 80G of the Income Tax Act, including Form 10A/10AB applications.
• Ensure timely audit and filing of Form 10B/10BB, ITR-7 and related income-tax compliances for the trust/society.
• Track application of income and accumulation requirements, and file Form 9A / Form 10 where applicable.
• Manage 80G donation compliance: donor records, Form 10BD statements and Form 10BE certificates.
• Handle annual filings and record-keeping under the West Bengal Societies Registration Act, 1961 (Registrar of Firms, Societies & Non-Trading Corporations), including accounts, governing body resolutions and member records as required.
• Coordinate with the tax consultant and auditors on assessments, notices and exemption-related queries.
7. MIS Reporting & Financial Planning
• Prepare monthly and quarterly MIS: unit-wise income, expenses, collections, cash position and variance analysis.
• Prepare annual budgets and cash-flow forecasts, and track actuals against budget.
• Track cost centres and profitability by institution and by hospital department.
• Design and enforce internal controls, approval matrices and accounting policies.
8. Team Leadership & Cross-Department Coordination
• Lead, allocate work to, train and review a team of 7–10 accountants, cashiers and purchase executives.
• Coordinate with Admissions, HR, Purchase, Hospital Administration and academic departments on all finance matters.
9. Banking & Financial Institution Relationships
• Manage relationships with banks, NBFCs and other financial institutions for term loans, working capital, overdraft limits and education-loan tie-ups.
• Handle bank reconciliations, fund management and documentation for credit facilities and renewals.
QUALIFICATIONS & EXPERIENCEMust-have
• B.Com / M.Com.
• 8–12 years in accounts & finance, including 3–4 years leading a team.
• Hands-on expertise in accounts finalisation for multi-unit entities.
• Has personally filed GST, TDS, PF, ESI and Professional Tax returns and handled department notices.
• Expert in Tally Prime and ERP systems, including masters, cost centres and reports.
• Advanced MS Excel: XLOOKUP/VLOOKUP, Pivot Tables, SUMIFS, Power Query and MIS dashboards.
• Experience dealing with banks and financial institutions.
• Working knowledge of trust and society accounting, and hands-on compliance under Sections 12A/12AB and 80G (Form 10A/10AB, 10B/10BB, ITR-7, 10BD/10BE).
Good-to-have
• Hospital accounting & finance experience (patient billing, TPA/insurance claims, pharmacy and inventory accounting) – strongly preferred.
• CA Inter, CMA Inter or MBA (Finance).
• Experience in an educational trust/society or multi-unit organisation.
• Fluency in English and Bengali.
