Location: Remote (India)
Office Timing: 8 am to 5 pm US Eastern Time (aligned to US business hours)
Role Objective
The Sales Support Specialist bridges the gap between marketing and sales for a US-based client,
engaging with qualified prospects from the point of hand-off from marketing to customer contracting
and onboarding. The role owns document collection, validation, and CRM tracking at every stage of
the sales cycle, freeing up sales managers to focus on selling and relationship-building rather than
administrative and coordination work.
Key Responsibilities
• Post-qualification engagement — Take ownership of qualified prospects handed over by the
marketing team and help the Sales Manager to manage the relationship through the sales
cycle up to customer onboarding.
• Document & information collection — Reach out to prospects at each stage of the sales cycle
to collect required documents, details, and proof needed to validate prospect information.
• Verification & tracking — Review submitted documents for completeness and accuracy,
maintain trackers/checklists per prospect, and follow up proactively on pending or incomplete
submissions.
• CRM management — Maintain accurate and up-to-date prospect and opportunity records in
Zoho CRM, including stage movement, documentation status, and activity notes.
• Sales-marketing coordination — Act as the coordination point between the marketing and
sales organizations, ensuring a smooth, well-documented hand-off for all qualified
opportunities.
• Sales manager support — Schedule prospect calls/meetings, prepare status summaries, and
handle administrative and follow-up tasks to free up sales managers’ bandwidth for core
selling activities.
• Onboarding coordination — Coordinate the hand-off for the customers who signed contract
to the onboarding/customer success team, ensuring all required documentation and
information is complete before transition.
• Reporting — Track and report on stage-wise conversion, document turnaround time, and
drop-offs, and flag process bottlenecks to sales management.
• Query resolution — Respond to prospect queries related to the sales process and
documentation requirements, escalating complex issues to the sales manager as needed.
• Data confidentiality — Handle prospect information and documents in line with data privacy
and confidentiality requirements.
Core Skills & Expertise (Must Have)
• CRM proficiency — Hands-on experience managing leads/opportunities, updating pipeline
stages, and generating reports in CRM.
• B2B Sales process knowledge — Solid understanding of the B2B sales lifecycle from lead
qualification through to customer onboarding, including typical documentation and validation
requirements.
• Prior experience supporting a US-based sales or marketing organization, including familiarity
with US business communication norms and working hours
• Customer-facing communication — Proficient spoken and written English with clear
articulation, along with strong listening skills to accurately understand and address prospect
needs.
• Priority and Time management — Ability to manage multiple prospects simultaneously, track
pending items, and drive them to closure without constant supervision.
Additional Skills & Expertise (Good to Have)
• Exposure to document/KYC-style verification processes.
• Familiarity with CRM or sales-engagement tools (e.g., Salesforce, Zoho, HubSpot)
Qualifications
• Bachelor’s degree in any discipline; a degree/diploma in Business Administration, Sales, or
Marketing is preferred.
• MBA in Sales/Marketing is an added advantage.
• MUST HAVE: 4-8 years of relevant experience in B2B sales support, inside sales, or CRM/sales
operations, preferably supporting a US-based client or organization.
