The Opportunity We are seeking a detail-oriented, process-driven, and highly organized Program Operations Executive/Senior Executive. In this role, you will be the operational backbone of PDI, taking end-to-end ownership of training data dashboards, financial tracking, logistics execution, vendor relations, and procurement workflows. If you thrive on process efficiency, data integrity, error-free reporting, and managing physical/digital environments to ensure seamless execution, this role is designed for you.
Key Responsibility Areas (KRAs)
1. Training Reports & Dashboard Management
● Data Governance & Integrity: Build and maintain error-free, on-time tracking systems and dashboards across Excel sheets and digital platforms (Platform Elevate / LMS).
● Comprehensive Reporting: Record, analyze, and publish consolidated data for all training programs—including attendance records, pre/post-assessment analysis, feedback surveys, and ongoing support interventions.
● SLA Adherence: Ensure all observation logs, participant performance records, and progress reports are published strictly within established TATs/SLAs.
2. Financial Reporting & Tracking
● Revenue & Expense Tracking: Maintain real-time logs of incoming program revenues, client invoicing, and operational program expenses to ensure budget adherence.
● Vendor & Refund Administration: Track and process vendor payments, manage refund workflows in line with organizational policies, and coordinate reconciliation with the central Finance team.
3. Logistics & Event Management Support
● Physical Event Execution: Plan and coordinate end-to-end venue setups, seating layouts, audio-visual (AV) infrastructure, physical training materials, and hospitality arrangements to maintain an Engaging Environment.
● Digital Infrastructure Setup: Manage online classroom platform configurations (Zoom/Teams/Google Classroom), access permissions, digital resources, and live tech support for hybrid or virtual training sessions.
4. Inventory & Vendor Management
● Procurement & Inventory Control: Estimate, procure, and track inventory for participant kits, printed toolkits, stationery, and event supplies.
● Cross-Functional Alignment: Work closely with the internal Ekya/CMR Operations and Finance teams to streamline vendor onboarding, purchase orders, material deliveries, and timely vendor disbursements.
Experience: 3 to 6 years of experience in program operations, educational administration, corporate L&D operations, or event management.
Education & Skills:
● Bachelor’s or Master’s degree in Operations Management, Business Administration, Commerce, or a related discipline.
● Data & Software Proficiency: Advanced mastery of Excel/Google Sheets (formulas, data validation, pivot tables) and comfort working with CRM/LMS platforms and digital analytics dashboards.
● Process Discipline: Meticulous attention to detail with strong organizational skills to handle multiple event timelines simultaneously.
● Cross-Functional Collaboration: Proven ability to interface effectively with internal Finance and Operations departments, external vendors, venue personnel, and program facilitators.
