Role: Operations & Delivery Manager

Wedditors.com is a B2B wedding video editing form serving clients Globally. We're hiring an Operations & Delivery Manager to own the engine room: the editor team, the client relationship, and the pipeline that turns a raw wedding file into a delivered, client-approved film on time, every time. This is not a coordinator role that just updates spreadsheets. This is an ownership role. You will be the person who makes sure nothing falls through the cracks, and the first person the founder trusts to know the true status of every project without having to ask.
What You'll Own
1. Delivery Pipeline
• Assign incoming projects to editors based on skill fit, current workload, and deadline pressure.
• Spot gaps early an editor falling behind, a project with no clear owner and re-route before it becomes a crisis.
• Route finished edits to Quality Check, cross-verify against the client's brief, and only then release for client delivery.
• Track every project's deadline and flag risk at least 48 hours before it's due, not after it's missed.
• Make sure every piece of information and raw material the client sends actually reaches the assigned editor nothing sits in an inbox.
2. Client Relationship
• Be the client's primary point of contact for project status proactive updates, not reactive ones.
• Handle payments, invoicing, and follow-ups on outstanding dues.
• Ask for referrals and feedback at the right moments in the project lifecycle.
• Collect testimonials systematically, not opportunistically.
3. Systems & Reporting
• Maintain a live editor tracker: who's working on what, daily progress, and blockers.
• Organize client data and assets so anyone on the team can find what they need without asking around.
• Give the founder a clear, honest weekly rollup of pipeline health not a status report written to look good.
4. Team & Culture
• Take direct accountability when something slips no diffusing blame across the team.
• Run regular check-ins with editors and partners to surface growth opportunities and systemic problems early.
• Hold editors to deadlines and quality standards with fairness and consistency.
Non-negotiables
• 2–4 years in project coordination, operations, or client servicing agency, production house, BPO, or similar delivery-driven environment.
• Fluent written and spoken English; comfortable owning client communication for US/Canada/Australia clients across time zones.
• Demonstrated ability to manage 10+ moving projects at once without losing track.
• Comfortable using or quickly learning spreadsheets/project trackers (Google Sheets, Notion, Trello, or similar).
Strongly preferred
• Background in video production, media, or creative agency operations you don't need to edit, but you should understand the workflow.
• Experience handling client invoicing/payments, not just communication.
• A track record of catching problems before they became client-facing issues.
Traits that matter more than the resume
• Ownership instinct treats a missed deadline as their problem to solve, not someone else's to explain.
• Calm under pressure a wedding season crunch with 15 concurrent deadlines should not visibly rattle them.
• Direct communicator tells the founder bad news early and plainly, doesn't sit on problems hoping they resolve.
• Systems-minded instinctively wants to build a repeatable process rather than solve the same fire manually every
time.
What Success Looks Like (First 90 Days)
• Zero projects with unclear ownership or status at any given time.
• On-time delivery rate visibly improves and is tracked weekly.
• Founder is pulled into day-to-day firefighting less, not more.
• At least one process (editor tracker, QC handoff, or client update cadence) has been measurably tightened.
