The Junior Admissions Executive will support the Admissions Department by managing student admissions, preparing admission documents, maintaining student records, and ensuring accurate data entry across institutional systems. The role also provides operational support to the Admissions Manager during peak intake periods while maintaining compliance with institutional policies and regulatory requirements.
Key Responsibilities
Admissions Administration
- Prepare and issue Offer Letters to eligible applicants.
- Create and manage student contracts using PandaDoc.
- Create Campus Login profiles for new students, where required.
- Add student start dates into the Campus Login system.
- Add new academic programs to the Campus Login system as required.
- Create and send LMS credentials to newly enrolled students.
Student Records & Data Management
- Update student information accurately in Campus Login.
- Transfer and upload student grades from the Learning Management System (LMS) into Campus Login.
- Maintain accurate and up-to-date student records in all institutional systems.
- Ensure all student data is entered accurately and in a timely manner.
Document Verification
- Review admission documents for completeness and eligibility during high-volume admission periods.
- Assist the Admissions Manager with preliminary document verification while ensuring compliance with institutional admission requirements.
- Escalate complex or non-compliant files to the Admissions Manager for review.
Reporting & Auditing
- Prepare student attendance reports as required.
- Conduct a monthly audit of admission applications to verify completeness, accuracy, and compliance.
- Prepare and share the monthly Application Audit Report with the Sales Team during the first week of each month.
- Identify discrepancies in admission files and coordinate corrective actions with the relevant departments.
- Work on Auditing of old students as and when required.
Collaboration
- Work closely with the Admissions, Sales, Academic, Student Services, and Compliance teams to ensure smooth student onboarding.
- Provide administrative support to the Admissions Manager during peak intake periods.
- Maintain confidentiality of student records in accordance with institutional policies and privacy legislation.
Qualifications
- Diploma or Bachelor's degree in Business Administration, Office Administration, Education, or a related field.
- Previous experience in admissions, education administration, or student services is preferred.
- Experience with CRM, LMS, Campus Management Systems, or document management platforms is an asset.
