The Executive Assistant for Human Resources plays a critical role in supporting the daily operations of the Human Resources department, serving as a key point of contact for staff, applicants, and external partners while managing the office. This role manages onboarding, recordkeeping, scheduling, and compliance-related tasks while maintaining HR systems and processing employee reimbursements and verifications. The Executive Assistant supports the Executive Director with calendar management, board reporting, and coordination of HR programs and events, ensuring smooth, compliant, and efficient HR operations.
This position requires a high level of initiative, independent judgment, and the ability to manage multiple tasks simultaneously with accuracy in a fast-paced environment.
Education and/or Experience and Qualifications
- Bachelor’s degree in Human Resources or related field preferred.
- 3-5 years of executive administrative support or Human Resources (High school district preferred).
- Experience with Human Resource Information Systems is preferred.
- Desire for continued professional development is essential.
- Demonstrates digital literacy and the ability to effectively use district-approved technology tools for communication, collaboration, data management, and instructional or operational tasks.
- An equivalent combination of training and experience may be used to meet the qualifications requirements.

Essential Functions
Office Management
1. Maintains efficient and effective Human Resources operations by managing
day-to-day administrative needs, adapting the Executive Director’s schedule in
response to unexpected changes, and ensuring the overall organization and
upkeep of the department.
2. Acts as liaison between the Executive Director, district, and building
administrators, staff, and the public, in a confidential and supportive manner.
3. Prepares background information for the Executive Director’s use relative to
bargaining issues and other confidential matters.
4. Attends meetings at the Executive Director's request, captures key discussion
points, and communicates relevant information to appropriate stakeholders.
5. Organizes and prepares correspondence and handles routine activities on behalf
of the Executive Director.
6. Provides proactive administrative support by collecting, tracking, and
maintaining critical Human Resources data and documents; taking initiative to
digitize and update records such as personnel reports and the Human Resources
Running Agenda; and ensuring information is organized, accurate, and readily
accessible to support departmental operations and decision-making.
7. Monitors the Human Resources personnel budgets, ensuring accurate tracking
of expenditures, alignment with district financial guidelines, and timely
reporting.
8. Coordinates all purchasing needs for the department and processes invoices,
reimbursements, and P-Cards for payment.
9. Collaborates with Business Services, Teaching and Learning, Special Education,
and Technology Services staff regarding personnel data and data integration
with district and state systems.
10. Performs additional duties as assigned by the Executive Director and HR
Managers.
Human Resources
1. Serves as the primary contact for general HR inquiries, offering professional and
informed assistance aligned with district policies and legal requirements.
2. Ensures compliance with federal and state laws by managing and responding to
employment verifications and Faith’s Law requirements, while serving as the
primary point of contact for Verifent and other third-party verification systems.
3. Manages onboarding and processing for a wide range of employee types,
including, but not limited to, extra duty, interns, student teachers, student
workers, outsourced service providers, and volunteers, including background
checks and fingerprinting.
4. Organizes and coordinates New Employee Orientation, including reserving
space, preparing and setting up the room with necessary technology, and
ensuring new-employee materials and welcome gifts are assembled and ready to
ensure a smooth, professional onboarding experience.

5. Organizes and digitizes employee files, ensuring secure and compliant records
management.
6. Coordinates the processing of tuition and professional dues reimbursements.
7. Assists in the facilitation of district-level programs and initiatives such as the
distribution of staff recognitions, Professional Learning sessions, trainings, and
more.
8. Produces official HR documents, ensures timely uploads and reporting in
internal systems.
9. Prepares correspondence, supports department communications, and
coordinates routine administrative activities and special projects.
