Job Title: Finance Executive
Location: Gurgaon, Haryana, India
Experience: 1-2 years
About the Company
TheHireHub.AI is a Gurgaon-based technology platform that co-pilots recruitment processes through automation, helping hiring teams manage sourcing, screening, engagement, coordination, and other operational workflows more efficiently. Founded in 2025 by executive search veterans with more than 20 years of global hiring expertise, the company is built on insights from over 3,000 hiring projects across India, APAC, and MEA, with a growing global footprint. Our mission is to empower hiring teams by automating the recruitment lifecycle and enabling faster, smarter hiring decisions. We combine artificial intelligence, recruitment expertise, and practical workflow design to reduce administrative effort and help recruiters focus on strategic decision-making. As we scale the business and raise our next round of capital, finance will become an increasingly important operating backbone. This role will help ensure that our books, invoices, reporting, statutory requirements, and investor information remain accurate, timely, and well organized. You will work closely with the founders, our Chartered Accountant, internal stakeholders, and prospective investors, gaining broad exposure to the financial operations of a growing technology company.
About the Role
As Finance Executive, you will own the accuracy, timeliness, and organization of the company’s day-to-day financial operations. You will maintain books, manage invoicing and reconciliations, coordinate statutory compliance with our Chartered Accountant, and provide reliable financial information to the founders. You will also support fundraising by preparing investor data, tracking requests, coordinating communications, and maintaining an orderly diligence repository. The role is designed for an early-career finance professional who is detail-oriented, comfortable working with spreadsheets and accounting systems, and eager to build strong finance processes in a growing technology company. Success means clean books, timely collections and payments, no avoidable compliance gaps, decision-ready reporting, and investors receiving accurate information when they need it.
Key Responsibilities
- Maintain accurate books of accounts through timely recording of sales, purchases, expenses, receipts, payments, journal entries, and supporting documentation, enabling reliable reporting and audit readiness.
- Manage customer invoicing, accounts receivable, payment follow-ups, vendor bills, accounts payable, and bank reconciliations so cash collections and outgoing payments remain visible and controlled.
- Coordinate with the Chartered Accountant on GST, TDS, income-tax, annual filings, audits, notices, and other statutory requirements, ensuring deadlines are tracked and compliance records remain complete.
- Prepare recurring MIS reports covering revenue, expenses, receivables, payables, cash position, and key variances, giving founders timely information for operating and financial decisions.
- Support fundraising execution by preparing financial schedules, maintaining the investor data room, tracking diligence requests, validating information, and coordinating accurate, timely communication with current and prospective investors.
- Build and maintain finance calendars, checklists, approval workflows, and documentation standards that reduce errors, improve accountability, and create scalable operating discipline as the company grows.
- Support budgeting, cash-flow forecasting, payroll coordination, expense controls, and scenario analysis, helping the leadership team allocate resources responsibly and anticipate funding or working-capital needs.
Essential Skills & Technologies
- 1-2 years of experience in bookkeeping, accounting, finance operations, audit, or a similar role, with practical understanding of ledgers, reconciliations, invoicing, payables, receivables, and financial documentation.
- Working knowledge of Indian statutory finance processes, including GST, TDS, income-tax filings, audit coordination, and maintaining records required by a Chartered Accountant or external auditor.
- Strong spreadsheet skills and comfort using accounting or ERP software, with the ability to organize large volumes of transaction data, identify discrepancies, and produce accurate, decision-useful reports.
- High attention to detail, ownership of deadlines, and disciplined follow-through, especially when managing recurring finance processes, compliance dependencies, investor requests, and sensitive company information.
- Clear written and verbal communication, with the judgment to explain financial information simply and coordinate effectively with founders, employees, vendors, the CA, and investors.
Additional Plus
- Experience working in a startup, small business, or finance function where responsibilities span accounting operations, compliance coordination, reporting, and process building.
- Exposure to fundraising support, investor reporting, financial diligence, data-room management, or preparing information for external stakeholders would be valuable.
- Familiarity with finance automation, digital expense management, payment platforms, payroll tools, or improving accounting workflows through technology would be an advantage.
What You'll Bring
- A relevant bachelor's degree in Commerce, Accounting, Finance, or a related field, with 1-2 years of practical experience in finance operations, accounting, bookkeeping, audit, or a comparable environment.
- Strong fundamentals in recording transactions, reconciling balances, raising invoices, tracking receivables and payables, organizing supporting documents, and working with accounting software and spreadsheets.
- Familiarity with Indian statutory compliance requirements and the confidence to coordinate with a Chartered Accountant, maintain compliance trackers, collect inputs, and ensure follow-ups happen before deadlines.
- Exceptional attention to detail and integrity when handling financial records, payments, confidential business information, and investor materials.
- A structured, proactive working style that combines dependable execution of recurring tasks with the curiosity to improve systems and solve operational problems.
- Clear communication skills and comfort working with founders, colleagues, customers, vendors, advisors, and investors across different levels of financial understanding.
- Willingness to work in a fast-changing technology company where priorities may shift and where building the right process is as important as completing the immediate task.
Why Join Us
- Own the finance operating backbone of a growing recruitment technology company, with direct visibility into how clean reporting, disciplined controls, and strong cash management influence business performance.
- Gain broad exposure to fundraising, investor diligence, statutory compliance, accounting operations, and founder-level decision-making rather than being limited to a narrow finance activity.
- Work closely with experienced entrepreneurs and external finance advisors in a collaborative environment that values ownership, candor, learning, and meaningful responsibility.
- Help build scalable finance systems at an important stage of company growth, creating processes that can support the organization through its next phase.
What We Offer
- A hybrid working environment in Gurgaon with meaningful interaction across the company.
- Broad ownership across accounting, compliance, reporting, cash management, and fundraising support, providing accelerated learning and practical exposure.
- The opportunity to contribute directly to a growing technology company’s operating discipline and fundraising readiness.
