Job Title: Executive Assistant to the Principal (Family Office & Multi-Business Operations)Job Overview
We are seeking a highly organized, proactive, and discreet Executive Assistant (EA) to provide comprehensive, high-level support to the Principal of our Family Office. This dynamic role goes beyond traditional administrative tasks. You will act as a strategic gatekeeper, operational coordinator, and primary liaison across the Principal’s diverse business portfolio, which spans multiple industries including real estate/infrastructure, corporate enterprises, and emerging consumer brands.
The ideal candidate possesses exceptional business acumen, sharp organizational skills, and the agility to seamlessly shift focus between high-level corporate operations and private family office management.
Key ResponsibilitiesMulti-Business Operations & Coordination
- Portfolio Liaison: Serve as a central point of contact between the Principal and key stakeholders, management teams, and external partners across various business entities.
- Meeting Management: Structure agendas, attend critical leadership meetings, take meticulous minutes, and track deliverables to ensure action items across all businesses are executed on time.
- Document & Presentation Preparation: Draft high-quality correspondence, compile business summaries, and design premium presentations for corporate, investment, and project reviews.
- Project Tracking: Maintain a high-level overview of ongoing projects, timelines, and milestones across different industries, proactively flagging potential delays for the Principal.
Family Office & Corporate Governance
- Executive Calendar Management: Manage a complex, fast-changing calendar, balancing corporate meetings, site visits, and personal commitments with precision.
- Information & Compliance Management: Organize and maintain confidential corporate registries, legal documentation, trust records, and family office files with absolute discretion.
- Financial & Tax Liaison: Coordinate with internal finance teams and external tax consultants to organize financial summaries, expense tracking, and documentation required for tax filings and compliance reviews.
- Travel Logistics: Arrange seamless domestic and international travel itineraries, including flights, accommodation, visas, and ground transport for both business and private requirements.
Qualifications & SkillsExperience & Education
- Experience: 2+ years of experience as an Executive Assistant, Chief of Staff, or Operations Coordinator, preferably supporting C-suite executives, high-net-worth individuals (HNWIs), or within a multi-business group / family office environment.
- Education: Bachelor’s degree in Business Administration, Finance, Communications, or a related field.
