Job details:
About the CompanyWe're a Founder-led activewear brand for women in motion. Our mission: to inspire women to move with confidence, take up space, and express who they truly are.
Founded in New York City and now based in Toronto, we design elevated, technical activewear built for movement and everyday life. Unlike the industry's copy-paste approach to activewear, we design pieces with curve-enhancing lines, sheer mesh layers, sophisticated cut-outs, and sculptural silhouettes. Over 95% of our collections are manufactured in Canada at a women-owned factory outside Toronto, where skilled artisans bring handwork that mass-market activewear can't match.
We sell through both retail and direct-to-consumer ecommerce, powered by Shopify, across the United States and Canada, to women who want pieces that keep up with real, active lives.
We've been stocked at the world's luxury department stores like Harrods and Holt Renfrew, featured in publications like Vogue, Vanity Fair, and Cosmopolitan, and worn by Taylor Swift, the Kardashians, Shakira, and countless others.
OUR COMPANY VALUES guide our team and shape our culture:
- 🎯 Pursuit of Better: We refine, improve, and innovate with intention.
- 🤝 Grow Together: We put the mission first and welcome feedback — it's always "we over me."
- 🧭 Honest Accountability: We take ownership, keep our word, and bring solutions, not excuses.
- 🗣️ Challenge Openly: We say what needs to be said and question assumptions, even when it's uncomfortable.
- 🌱 Do More With Less: We keep things simple and focus on what matters most.
We're a hybrid team, currently a team of three — our Founder and our Marketing Team — backed by a close-knit group of freelancers and agency partners.
About the RoleWe're looking for a remote Ecommerce Operations & Systems Coordinator to keep our daily ecommerce engine running smoothly — across customer service, orders, warehouse partners, inventory exceptions, product data, and launches. This is not a general admin or virtual-assistant role — it's execution-focused, built for someone who owns outcomes, not just tasks.
In this role, you'll keep orders, customers, and product information moving in sync — investigating issues as they surface, coordinating with external partners, and documenting the process along the way. Information won't always be perfectly organised; your job is to investigate, clarify, and move each issue toward resolution.
This role exists so our Founder can focus on vision and growth instead of operational details. As you master the workflows, you'll help identify what's worth simplifying, documenting, or automating — with the long-term goal of automating the repetitive parts so you can focus on the judgment calls and systems work automation can't do on its own. You won't be expected to design this automation architecture alone or from scratch — you'll bring strong operational knowledge to the process, with support, as you build toward it.
Our IDEAL CANDIDATE brings 3–5 years of experience in roles like Ecommerce Operations Manager, Customer Success Manager, Ecommerce-Focused Executive Assistant, or Automation & Systems Specialist, or related — so long as you understand ecommerce well. You're calm, organised, and persistent — someone who notices when information is missing or inconsistent, tracks issues without losing detail, and follows up until there's a clear resolution. You look past symptoms to root causes, improving processes only once you understand how they work. You love solving problems, riddles, and puzzles, and can tolerate the tedious, detail-heavy work it takes to produce great results. You're genuinely excited to learn and use AI tools — seeing them as a practical way to work smarter, not something to fear or use without judgment. Working with you should feel like a relief — the kind of trust and character that makes it easy to hand you real ownership, knowing you'll grow into more with time and support.
Performance Metrics: Your performance will be measured by routine customer and order cases handled independently, warehouse issues tracked with clear owners and deadlines, accurate and consistently checked product and launch data, weekly reporting that surfaces risks early, the Founder no longer coordinating routine work herself, and progress identifying and testing which workflows are ready to automate.
Reporting Structure: You'll work closely with the Founder, the Marketing Operations Manager, and our external marketing agency. This position reports directly to the Founder.
You'll be doing things like:
- Customer Service & Order Management: managing the daily customer service queue; responding to customer questions; investigating order, delivery, return, exchange, refund, chargeback, and store credit issues; generating return labels; escalating non-standard cases with full context and a recommended solution; tracking recurring customer issues
- 3PL & Warehouse Coordination: communicating daily with warehouse and fulfillment partners; monitoring order holds, fulfillment errors, misallocations, and inventory discrepancies; tracing root causes across Shopify, warehouse systems, and internal records; maintaining a tracker of open issues, owners, next actions, and deadlines; tracking approved inventory transfers through to receipt
- Shopify Systems & Launches: maintaining accurate Shopify product records (SKUs, UPCs, prices, variants, colors, sizes, tags, collections, inventory settings, HS codes, customs info); entering ERP data for POs and new styles; setting up approved collections, promotions, discounts, and product launches; completing desktop and mobile QA using checklists; maintaining the product description database; occasionally creating AI-generated product imagery or copy as needed
- Shipping & International Logistics: creating shipping labels for fabric, trims, and cross-border shipments; completing commercial invoices and customs documentation with rigorous attention to detail; coordinating transfers from factory to warehouse
- Reporting & Reconciliation: preparing weekly operations reports on open risks, recurring issues, and required actions; reconciling wholesale orders with the accountant and preparing monthly Shopify reports; maintaining and updating SOPs as workflows evolve; executing occasional marketing tasks as directed by our agency
- AI & Process Improvement: identifying repetitive workflows for simplification or automation; using AI tools to draft responses and support investigations; reviewing AI-assisted outputs for accuracy and brand alignment; measuring whether new workflows save time, reduce errors, or improve customer experience; potential to experiment with building a lightweight internal tool (e.g., a simple ERP app for UPC/PO tracking) as skills develop
Skills & Qualifications- 3–5 years of experience in roles like Ecommerce Operations Manager, Customer Success Manager, Ecommerce-Focused Executive Assistant, or Automation & Systems Specialist, or related, ideally at smaller or fast-moving ecommerce brands
- Strong hands-on backend experience with Shopify or a comparable ecommerce platform
- Experience investigating order and fulfillment issues, including returns, exchanges, refunds, replacements, and exceptions
- Experience with WMS and inventory systems
- Experience communicating with 3PLs, carriers, or other operational partners
- Experience maintaining trackers, SOPs, checklists, or recurring reports
- Strong spreadsheet and data accuracy skills
- Excellent written English and organized, independent follow-through
- Calm, detail-oriented, and persistent under pressure
- Strong sense of priority — able to distinguish urgent tasks from those that can be deferred
- Good judgment — you make the call on small decisions, but flag rather than guess when something's missing, unclear, or outside policy
- Tech-savvy, systems-oriented, and really excited about using AI to improve operational work
Bonus if you also have:
- Fashion or apparel ecommerce background
- Experience with store listing SEO and conversion rate optimization (CRO) best practices
- Multi-location inventory or returns-management platform experience
- International shipping experience — you understand HS codes, commercial invoices, and courier coordination
- A portfolio of AI or automation work
- Software programming experience or interest in it
- Familiarity with our tools: Shopify, Gorgias, Shopify Flow, Notion or Monday.com, ERP, WMS, and AI tools such as ChatGPT, Claude, or Gemini
