Position Summary
The Charge Entry Specialist is responsible for accurate and timely entry,
verification, and processing of patient demographic, insurance, and charge billing
data into practice management systems. This position plays a critical role in
ensuring clean claim submission and smooth revenue cycle operations. The ideal
candidate is detail-oriented, highly accountable, and self-driven, capable of taking
true ownership of work without requiring constant task assignment or monitoring.
Essential Duties and Responsibilities
● Enter clinical charges, patient demographics, and insurance information into
Practice Management (PM) / EHR systems with high speed and accuracy.
● Review medical encounter documentation, superbills, and charge tickets for
completeness, accuracy, and proper fee schedule application prior to entry.
● Verify insurance eligibility, benefits, authorizations, and patient
responsibility details as needed.
● Identify missing documentation, missing modifiers, or coding
inconsistencies and flag them for clarification.
● Perform daily charge audits and reconciliation of charge batches against
provider schedules and log sheets.
● Correct charge-level pre-billing edits and clearinghouse rejections prior to
claim generation.
● Communicate effectively with billing, coding, and clinical staff to resolve
billing questions or charge entry delays.
● Maintain strict confidentiality and adhere to all HIPAA rules and company
regulations.
Requirements
Required Qualifications
● Experience: At least 1 to 2+ years of medical charge entry, billing, or
revenue cycle experience in a healthcare environment.
● Specialty Background: Experience in charge entry for general outpatient
specialties, including Primary Care, Psychiatry, Gastroenterology,
Dermatology, etc.
● EHR & System Proficiency: Hands-on experience using practice
management systems and EHRs such as Tebra, SimplePractice, Practice
Fusion, Athena, eClinicalWorks, etc.
● Accountability & Ownership: High level of self-direction, taking true
ownership of assigned work queues, running with tasks independently, and
requiring minimal supervision.
● Skills: Excellent numeric and alphanumeric data entry skills, strong
attention to detail, and solid grasp of medical terminology and charge
capture principles.
● Probationary Requirement: Must successfully demonstrate productivity,
accuracy, and reliability during an initial 90-day probation period.
Preferred Qualifications
● Experience working in an outsourced RCM or multi-specialty billing setting.
● Familiarity with CPT, ICD-10, and modifier usage guidelines.
