Admission Counselor
Job Summary
The Admission Counselor is responsible for guiding prospective parents and students through the admission process, ensuring a seamless admission experience from enquiry to enrolment. The role involves achieving admission targets, counselling parents, managing applications and student records, following up on enquiries, maintaining accurate admission data, and supporting admission-related activities in coordination with the Academic, Marketing, and Administration teams.
Key Responsibilities
Admission Targets
- Achieve the admission targets assigned by the reporting manager within the stipulated timelines.
- Monitor daily and weekly admission progress and take timely follow-up actions to improve conversions.
- Maintain accurate admission records and prepare periodic admission reports.
Application Review & Admission Processing
- Review student applications to ensure age and academic eligibility as per school guidelines.
- Coordinate with the Academic Team for assessments and admission approvals.
- Support the completion and closure of admission applications within defined timelines.
Parent & Student Counselling
- Counsel prospective parents and students regarding the admission process, curriculum, fee structure, facilities, and school policies.
- Respond to enquiries through phone calls, emails, walk-ins, and face-to-face meetings.
- Organize and conduct campus tours and Open House sessions.
- Build positive relationships with prospective families to enhance admission conversions.
Student Data Management
- Create and update enquiry forms, applications, and SMS records in the MCB system.
- Maintain General Register (GR) entries and admission-related documentation.
- Update and maintain class-wise and section-wise student strength on a daily basis.
- Ensure all admission records are accurate, complete, and confidential.
Lead Follow-up & Conversion
- Follow up on enquiries received through Google, SEO, Facebook, email campaigns, referrals, and walk-ins.
- Maintain regular communication with prospective and previously counselled parents to maximize admission conversions.
- Coordinate with fellow Admission Counselors and the Marketing Department regarding lead allocation and follow-up status.
- Share weekly lead distribution reports with the Marketing Department.
Admission Reporting & Analysis
- Prepare admission reports, enquiry status, and conversion analysis.
- Present admission-related data and reports to the management as required.
- Identify trends and provide inputs to improve admission conversions.
Training & Professional Development
- Participate in admission training programs and orientation sessions.
- Support the preparation of training materials and presentations for the admissions team when required.
- Stay updated with school programs, admission policies, curriculum, and counselling practices.
Additional Responsibilities
- Maintain high standards of customer service throughout the admission process.
- Coordinate with Academic, Finance, Administration, and Marketing teams to ensure smooth admission operations.
- Participate in school events, admission campaigns, educational fairs, and promotional activities.
- Handle parent queries and concerns professionally and ensure timely resolution.
- Perform any other responsibilities assigned by the Reporting Manager.
Qualifications
- Bachelor's Degree in any discipline. A Master's Degree will be an added advantage.
Experience
- 2–5 years of experience in Admissions, Counselling, Customer Relationship Management, or the Education sector.

- Proficiency in MS Office, Google Workspace, and ERP/CRM systems (MCB preferred).
