About Reviva Transition Partners
Reviva Transition Partners is an investment firm focused on supporting the transition of coal-fired power assets in emerging markets. We work with asset owners, investors, and other stakeholders to enable commercially viable and credible transition pathways.
We are looking for a highly organized and detail-oriented Admin & Operations Associate to support the firm's day-to-day corporate, administrative, HR, finance, and operational requirements.
The Role
This is a hands-on, cross-functional role suited to someone who is comfortable managing multiple workstreams, coordinating with external service providers, and ensuring that corporate documentation and administrative processes are maintained to a high standard.
The role will work closely with the leadership and investment teams and will involve interaction with banks, corporate service providers, vendors, contractors, candidates, and other external counterparties.
Key Responsibilities
Corporate Administration & Compliance
- Maintain a centralized digital repository of company incorporation, registration, and corporate documents.
- Coordinate with corporate service providers on license renewals, trade name registrations, legal address updates, and other corporate requirements.
- Maintain accurate and up-to-date documentation in line with UAE and ADGM requirements.
- Support audit and compliance preparation by maintaining organized and accessible records.
Office & Lease Administration
- Maintain records of office rental agreements, renewal timelines, and notice periods.
- Coordinate lease renewals, amendments, and related documentation with counterparties.
- Support KYC and other documentation requirements relating to office administration.
Banking, Finance & Vendor Management
- Maintain records relating to bank accounts, authorized signatories, and KYC information.
- Support bank account opening, updates, and renewal processes.
- Track and process invoices and payments to vendors and contractors.
- Maintain a complete and organized record of contracts and supporting documentation.
- Manage corporate software subscriptions and renewals, including platforms such as DocuSign and Microsoft.
- Support budgeting, accounting coordination, and general financial administration.
- Screen and respond to general enquiries received through company contact channels.
HR & Recruitment Administration
- Maintain recruitment trackers covering applications, shortlisted candidates, offers, and joining dates.
- Maintain personnel records, including employment contracts, identification documents, certifications, and other required documentation.
- Assist with monthly salary and employee reimbursement tracking and processing.
- Coordinate employee onboarding and offboarding documentation.
- Maintain and update the firm's leave tracker.
- Support the drafting and updating of HR policies and procedures.
Cross-Functional & Leadership Support
- Coordinate internal and external meetings with service providers, banks, and other counterparties.
- Liaise with investment and leadership teams on signatures, filings, document retrieval, and other administrative requirements.
- Coordinate domestic and international business travel for leadership team members, including bookings, visas, and expense/reimbursement documentation.
- Prepare and format internal forms, letters, templates, and other corporate documentation.
What We're Looking For
- Bachelor's degree in Business Administration, Finance, Accounting, HR, or a related field.
- 2–5 years of experience in administration, operations, office management, corporate services, or a similar role.
- Strong organizational and document-management skills.
- Excellent attention to detail and ability to manage multiple priorities simultaneously.
- Comfortable coordinating with external service providers, banks, vendors, and other counterparties.
- Strong written and verbal communication skills.
- Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
- Ability to work independently in a fast-paced, entrepreneurial environment.
- High degree of discretion when handling corporate, financial, and employee information.
