POSITION DESCRIPTION


POSITION TITLE: Purchasing Coordinator

REPORTS TO: Purchasing Manager

STATUS: Exempt

LOCATION: Administration



POSITION SUMMARY:

The Purchasing Coordinator position provides support and administers the purchasing policies and functions of Zippy’s Restaurants, Food Solutions International and Napoleon’s Bakery Plant.


ESSENTIAL FUNCTIONS:


  1. Aware of the goals and direction of the Company and align all decisions and activities of the Purchasing/Central Ordering department to support that direction and achieve the goals
  2. Works with suppliers for the purchase of goods and services for Zippy’s Restaurants (both in Hawaii and Las Vegas), Food Solutions International and Napoleon’s Bakery plant, Las Vegas Commissary and Bakery operation, and support to A Catered Experience
  3. Works closely with Zippy’s Operations, FSI Production Manager and Napoleon’s Bakery Manager to resolve quality or delivery issues promptly
  4. Monitors high product variances for all divisions and work with management to resolve the discrepancies
  5. Acts as a liaison between vendors and departments ensuring delivery and product changes are communicated and problems are resolved promptly  
  6. Trains managers to use online ordering system and aids as needed with setting up order guides, count sheets or resolving discrepancies
  7. Determines products needed and accurately calculates usage for all products and communicates needs to distributors ensuring availability when needed  
  8. Creates new company product information in BOH software and reviews/processes weekly bids in online ordering system, questioning changes and validating prices are correct
  9. Maintains Product Contract Forms ensuring all are up to date and provided to distributors

OTHER FUNCTIONS:

  1. Communicate and collaborate with other departments to ensure successful implementation of projects or information
  2. Consistently seek ways to improve the purchasing processes as well as ways to support the Zippy’s Restaurants, Food Solutions and Napoleon’s Bakery operations


QUALIFICATIONS:


Scheduling: 

  • Basically, Monday through Friday, between 7:30am and 5:00pm or more as needed to complete work responsibilities
  • Able to work flexible hours (weekends and evenings) if needed
  • May be required to work in the operations, if needed, related to ordering and inventory


Physical Ability: 

  • Sitting most of the day
  • Standing and walking throughout the day
  • Reaching/bending frequently
  • Good speech and hearing necessary for communicating, talking on the phone, responses with managers and employees
  • Sight for performing computer work


Mental Ability:

  • Good decision-making skills (uses independent judgment)
  • Good assessment skills
  • Planning/organizational skills (ability to set long-term or short-term goals, measures, times, and coordinate multiple tasks/activities, prioritize)
  • Reading, writing, and oral proficiency in the English language required; ability to write professionally to respond to customers and co-workers 


Pre-Employment Requirements:

  • Must pass drug screening test

  • Air-conditioned, office environment


Education: 

  •  Minimum High School diploma or GED or equivalent work experience


Experience: 

  •  Prior purchasing experience desired but not required
