Overview
In addition to their clinical responsibilities as an Advanced Practice Provider (APP), the manager is responsible for overseeing APP staff across all departmental specialties. The manager ensures practice patterns are consistent across the department, represents and is the point of contact for concerns and questions with Yale New Haven Hospital (YNHH). The APP manager is also responsible for monitoring staff, policies, practices, and procedures in one or more operational areas. In their administrative role, the manager will report administratively to the Vice Chair of Clinical Operations in the Department of Pediatrics and work in close collaboration with administration and leadership within each APP’s section.
15% salary support will be provided to support these non-clinical responsibilities.
The manager's core duties will include:
Administrative Responsibilities
Reviews and determines staffing needs, job posting requirements, and labor agreement interpretations for university-employed APP staff
When applicable, assists with recruitment of new department APPs: screens candidates, reviews applications, helps coordinate interviewing process in collaboration with HR and section leadership, and works with YNHH APP Manager to coordinate training, orientation, and integration into the team
Assists in the development and implementation of policies and procedures for APPs
Assists with auditing of quality metrics of performance as well as measures of productivity
Coordinates schedules for APPs, reviews timecards, and assures back-up coverage while balancing departmental needs with PTO requests and CME requirements
Completes and documents annual performance reviews for all university APP staff
Coaches, mentors, and assists with identifying career development opportunities
Participates in reviews and, when necessary, corrective action plans in collaboration with Human Resources, and department leadership
Provides information and education about the APPs’ role to trainees, physicians, and ancillary staff
Leads regular meetings with APPs
Supports department leadership with any APP-related issues and efforts
Supports department leadership in operational, regulatory, and quality issues, as requested
Helps develop APP competencies and metrics for department
Operational Responsibilities
Ensures compliance with mandatory training
Ensures required licensure and certifications are kept up to date
Assists with billing compliance for all services/procedures performed
Attends administrative and clinical meetings, as required
Coordinates with Quality Improvement work group on issues related to APPs
Participates in and leads department clinical quality improvement processes for the APP group
Leads/participates in patient flow initiatives as they relate to APPs
Leads/P\participates in team-based quality improvement and patient experience initiatives.
Responds to APP-related patient complaints and reports patient experience concerns to appropriate leadership and Patient Relations
Ensures medical record documentation meets YNHH, Yale Medicine, State and Federal guidelines, including medical information required for legal and billing purposes
Ensure compliance with completeness and timeliness of provider clinical documentation, including those aspects of the documentation that affect medication reconciliation, coding and billing
Immediately reports any concerns about patient safety to appropriate parties
Ensures compliance with all Yale Medicine and Yale New Haven Hospital policies and procedures for healthcare providers
Leads/assists with deployment of new initiatives
Educational Responsibilities
Identifies information needs of team members and provides related teaching and education to APP staff
Participates in department and/or section educational conferences and attends department and APP grand rounds
Facilitates regular continuing education conference attendance as per department objectives for APPs to ensure continuing clinical competence
Ensures APP competency and compliance with HIPAA, CME, regulatory and accreditation standards
Facilitates precepting of students and trainees
Additionally, the manager will consistently demonstrate:

Annual performance review by administrative supervisor with input from section chief/medical directors for administrative and clinical responsibilities. Accountable for conducting accurate and appropriate evaluation, care, and coordination of care of medicine inpatients.
Accountable for performance of all administrative tasks assigned.
Complexity
Assists in providing all aspects of patient care, including interactions with other services involved in the care of inpatients, outpatients, and Emergency Department. Works with administrative and medical supervisors on special projects as assigned. All administrative responsibilities performed with professionalism, independently and with minimal supervision. Problem solves utilizing available resources efficiently.

Minimum of three years of related experience in the specialty area of assignment in a hospital environment . Minimum of one year supervisory/administrative experience.

Administration:
1. Responsible, with nursing leadership, for day-to-day team function and workflow to include access to appointments, cross coverage, performance management, oversight, feedback, and annual performance evaluation with input from Chief, for team clinicians (MDs, PAs and APRNs.)
2. Provide working leadership for a multi-disciplinary departmental team in accordance with the principles of a patient-centered medical home.
3. Create an atmosphere of mutual respect, responsibility, accountability, growth, and cooperation between all team members (MA, RN, APRN, PA, MD, Clinical Receptionist). Willing to mentor and coach team members.
4. Cultivate a high-quality team of clinical providers and direct the activities and professional development of team members including measures to promote retention and mitigate burnout.
5. Work with clinical team to enhance accountability for department patients and ensure high level performance on established metrics.
6. Participates in interviewing and selecting clinician candidates for appointment to the clinical staff of Yale Health with the goal of a diverse workforce.
7. Conducts regular meetings with nursing leadership, direct reports and teams and fosters a collaborative and positive work environment.
8. Participates as a member of Chiefs group, lead or serve as member on committees and projects related to quality and safety, research and education, patient experience, team-based care, panel management, operational efficiency and fiduciary responsibility at the departmental or organizational level.
9. With other department leaders, establish clinical and operational quality standards and goals in accordance with organization-wide principles and standards.
10. Provide coverage for department Chief as needed.
Clinical:
1. Provide medically appropriate care that is patient centered, evidence-based, compassionate, and cost-effective. Serve as a standard of clinical competence, life-long learning, and responsibility. Meet departmental standards for quality of clinical care, productivity, and service.
2. Define and document patients’ clinical problems and reach appropriate diagnoses; plan and execute therapy in a timely manner; keep comprehensive records of care; communicate to patients the results of testing or procedures in a timely manner.
3. According to departmental standards: provide same-day and urgent care, participate in cross coverage of absent colleagues, and participate in weekend/on-call rotations.
4. Provide consultation and teaching as needed for clinicians. Assist in coordinating the medical student primary care clerkship experience and educational experiences for Yale APRN and PA students in the department with the administrative team.
5. Interact with nurses, medical assistants, and other front-line staff in a professional, cooperative, and supportive manner.
6. Demonstrate commitment to the welfare of Yale Health patients and the department, and flexibility to meet changing clinical demands.
7. Regularly attend and participate in department meetings and committee assignments. Meet regularly with Department Chief and Manager.
Required Education and Experience
Graduation from a Physician Assistant (PA) Training Program accredited by the American Medical Association Council on Medical Education or Master’s Degree from an accredited Advanced Nurse Practitioner program. Demonstrated progressively responsible experience in a leadership role; or equivalent combination of education and experience.
Required License(s) or Certification(s)
CT APRN license (or eligible) with ANA certification OR CT PA license (or eligible). Prescriptive privileges (or eligible) in the State of Connecticut, federal DEA license and CT DCP license for prescription of controlled substances. Qualifies for hospital and faculty appointments.
