Job Summary
The Workplace Experience Specialist will be responsible for delivering a high-quality corporate hospitality and workplace experience across the office environment. Independently manage assigned events, including project management, vendor management, event design and production, event technology and mobile applications. Meet with, consult with, and support event stakeholders in all aspects of planning. Travel to oversee event logistics onsite at assigned events. The position requires a service-oriented professional who can manage multiple stakeholders, drive operational excellence, maintain cost discipline, and ensure consistent, safe, and premium workplace experience.
Principal Duties and Responsibilities: (List essential functions of the job and approximate percentage of time spent on each activity; describe what must be accomplished, not how it must be done.)
- Vendor, Budget, and Compliance Management (33%)
- Manage hospitality-related vendors, including hotels, caterers, event agencies, transport providers, pantry suppliers, travel partners, florists, decorators, and other service providers.
- Responsible for vendor onboarding, contract renewals, service-level reviews, purchase requisitions, invoice validation, and payment follow-ups in coordination with Procurement and Finance.
- Accountable for strong cost governance by tracking budgets, validating consumption, reviewing billing, identifying savings opportunities, and avoiding leakage.
- Ensure all services comply with company policies, procurement guidelines, safety standards, security protocols, and audit requirements.
- Prepare periodic reports, dashboards, MIS updates, and performance reviews for management.
- Events and Workplace Hospitality (22%)
- Plan, coordinate, and execute in-house and external events, including leadership visits, town halls, client meetings, employee engagement events, celebrations, offsites, and conferences.
- Own end-to-end event logistics, including venue identification, food and beverage planning, seating arrangements, audio-visual coordination, branding support, transport planning, security coordination, vendor supervision, and post-event closure.
- Prepare event budgets, compare vendor quotations, track expenses, and ensure approvals are obtained as per company process.
- Coordinate with internal teams such as Administration, Facilities, Security, IT, Communications, Procurement, Finance, and Business stakeholders to deliver seamless events.
- Ensure events reflect professional standards, brand expectations, safety protocols, accessibility needs, and guest experience requirements.
- Travel and Transportation Coordination (25%)
- Responsible for domestic and international travel support, including itinerary assistance, hotel alignment, airport transfers, local transport, and visitor movement plans.
- Independently manage employee transportation support, cab coordination, route planning inputs, vendor performance, service quality, safety compliance, and issue resolution.
- Partner with travel management companies, transport vendors, and internal stakeholders to ensure timely, cost-effective, and compliant travel and transportation services.
- Track transport usage, service incidents, employee feedback, billing accuracy, and vendor performance against agreed service levels. Travel Platform management.
- Support leadership, guests, and visiting teams with high-touch travel and ground logistics where required.
- Hotel Booking and Relationship Management (10%)
- Management of corporate hotel bookings for employees, visitors, leadership, clients, and event participants in line with company travel and expense guidelines.
- Build and maintain relationships with preferred hotels, serviced apartments, guest houses, and hospitality partners to ensure competitive rates, reliable service, safety standards, and priority support.
- Negotiate room rates, inclusions, cancellation terms, credit arrangements, and service-level expectations with hotel partners.
- Maintain an updated database of approved hotels, negotiated tariffs, escalation contacts, amenities, and feedback records.
- Monitor guest experience, resolve booking escalations, and ensure timely coordination for arrivals, departures, billing, and special requests.
- Cafeteria, Pantry, and Employee Amenities (10%)
- Management of on-ground facilities such as cafeteria, pantry, beverage, and refreshment services to ensure quality, hygiene, timeliness, variety, and employee satisfaction.
- Responsible for vendor staffing, menu planning, service counters, executive hospitality, meeting room refreshments, special meal requests, and event catering.
- Responsible for compliance with food safety, hygiene, statutory, and internal workplace standards.
- Conduct regular service audits, review feedback, monitor wastage, and drive continuous improvement in cafeteria and pantry operations.
- Support employee amenities and workplace experience initiatives, including visitor hospitality, meeting room readiness, wellness support arrangements, and ad hoc service requests.
Knowledge, Skills And Abilities
- Excellent service orientation with a strong focus on employee, visitor, and leadership experience.
- Strong planning, coordination, negotiation, and execution skills.
- Strong understanding of hospitality standards, guest experience, vendor management, budgeting, billing, and operational controls.
- Ability to manage multiple priorities, urgent requests, and high-visibility events with attention to detail.
- Strong communication, stakeholder management, and vendor relationship skills.
- Good commercial acumen with the ability to review quotations, validate invoices, and manage budgets.
- Sound judgment, discretion, professionalism, and ability to handle confidential or VIP requirements.
- Working knowledge of Microsoft Office tools, especially Excel, PowerPoint, Outlook, and reporting formats.
- Ability to work flexible hours when required for events, leadership visits, emergencies, or critical business needs.
- Polished, professional, and customer-focused approach.
- Calm under pressure with strong problem-solving ability
Job Specifications
- Required Education: N/A
- Preferred Education: Bachelor’s degree in Hospitality Management, Hotel Management, Business Administration, Facility Management, or a related field.
- Required Experience: 8-10 years of relevant experience in corporate hospitality, hotel operations, workplace services, administration, facilities, travel desk, or event management. Experience managing hotels, cafeteria, pantry, events, transport, travel, and service vendors.
- Preferred Experience: Prior experience in a corporate office, financial services organization, GCC, multinational company, premium hotel, or managed workplace environment.
