Position Work Order Coordinator
Job Brief
A work order is a document that describes how maintenance work will be performed. A work order should include a description of the maintenance activities and information such as who requested and approved the work order, the maintenance technician responsible for executing the work and the associated due dates, costs and resources
Roles And Responsibilities
- Proficient and comfortable with all aspects of the home maintenance process; provide meaningful and relevant information to tenants by phone or email; verbally direct customers through self-help techniques, maintenance processes, and scheduling follow up support in the home, when appropriate.
- Maintain accurate tenant and unit records through detailed data entry and proactive follow-up with vendors and tenants, including updating information, managing and rescheduling pending work orders, completing end-of-day tasks, and generating reports and summary lists as needed.
- Maintain and review statistical data and work orders for accuracy, input tenant, vendor, and employee feedback to support timely completion and tracking, and complete all required company forms related to work order scheduling, execution, and follow-up.
- Effectively manage and de-escalate sensitive or challenging situations while handling a high volume of calls, emails, and in-person interactions.
- Provide cross-departmental support as needed, participate in workplace safety programs, handle additional duties as assigned by management, and direct customer inquiries to the appropriate staff members.
