About the Role
As Executive Assistant, you will create operating leverage for senior leadership by converting competing priorities into clear schedules, decisions, communications, and follow-through. Working in a Hybrid setup in Bengaluru, you will coordinate across internal stakeholders, protect confidential information, and keep leadership commitments moving with precision. The role requires strong judgment when priorities shift, confidence managing sensitive interactions, and the discipline to close loops without constant direction. You will own the systems that make executive time more effective, from meeting preparation and action tracking to travel, documentation, and stakeholder coordination. Success will be visible in better preparedness, faster follow-through, and fewer avoidable interruptions. Key Responsibilities
- Own executive calendars, priorities, and meeting rhythms through proactive scheduling and conflict resolution, protecting leadership focus while ensuring critical decisions and commitments receive timely attention.
- Prepare agendas, briefing materials, minutes, and decision logs that give leaders the context required to make faster, better-informed decisions across competing business priorities.
- Drive action tracking across stakeholders by maintaining clear owners, deadlines, and escalation points, improving follow-through and preventing important commitments from being lost.
- Coordinate internal and external communications with sound judgment, ensuring messages are accurate, timely, appropriately prioritized, and aligned with leadership expectations.
- Manage travel, itineraries, expenses, and logistical details through reliable planning systems, reducing disruption and enabling executives to operate effectively across changing schedules.
- Handle sensitive information and executive interactions with discretion, professionalism, and confidentiality, protecting trust while maintaining responsive relationships with key stakeholders.
- Build lightweight administrative processes and reporting routines that improve visibility into priorities, upcoming obligations, and unresolved dependencies for senior leadership.
Essential Skills & Technologies
- Advanced calendar and inbox management across Microsoft Outlook or Google Workspace, including complex scheduling, prioritization, delegation, and confidential executive correspondence.
- Strong proficiency with Microsoft Office or Google Workspace tools, especially documents, spreadsheets, presentations, and structured trackers used for leadership preparation and follow-through.
- Practical task and project coordination using tools such as Asana, Trello, Notion, Jira, or equivalent systems to manage owners, deadlines, dependencies, and escalations.
- High-quality business writing and editing skills for agendas, briefs, minutes, presentations, emails, and executive communications that require clarity and polished judgment.
- Travel, meeting, and expense coordination skills, including itinerary planning, vendor communication, reimbursement documentation, and rapid resolution of last-minute changes.
- Strong information-management practices covering file organization, version control, documentation standards, and secure handling of sensitive business and personal data.
- Confident stakeholder coordination across senior leaders, teams, vendors, and external contacts, with the communication discipline to keep interactions efficient and professional.
Additional Plus
- Experience supporting a founder, CEO, or multiple senior executives in a fast-moving environment where priorities change frequently and independent judgment is essential.
- Familiarity with meeting transcription, automation, scheduling, or workflow tools that reduce repetitive administration and improve the quality of leadership information.
- Exposure to project management, business operations, or event coordination, enabling broader support for cross-functional initiatives beyond core calendar and administrative responsibilities.
