About the Role
dAIgnostiX is seeking a highly organized, discreet, mature and proactive Executive Assistant to support the CEO. This role sits at the center of executive operations — managing calendars, communications, board coordination, and cross-functional priorities for a fast-growing teleradiology company operating across India and the US. The ideal candidate is a trusted right hand who anticipates needs, exercises sound judgment with sensitive information, and keeps the CEO's time and priorities protected.

Location: Bengaluru, India (Whitefield) · On-site (with some as needed flexibility)

Working hours: Core hours structured to provide daily overlap with US business hours
Requirements
Key Responsibilities
Calendar & Time Management
● Manage a complex, high-volume calendar spanning India and US time zones, prioritizing competing demands and resolving scheduling conflicts
● Coordinate meetings with board members, leadership team, external stakeholders, clients, radiologists, and senior leadership
● Anticipate scheduling needs around quarterly board cycles, town halls, and leadership offsites
Communication & Correspondence
● Draft, proofread, and manage correspondence on behalf of the CEO, including emails, memos, and internal announcements
● Act as a gatekeeper and liaison between the CEO and internal and external stakeholders, exercising discretion over what requires the CEO's direct attention
● Prepare briefing notes ahead of meetings and calls
Board & Leadership Support
● Coordinate logistics for board meetings — scheduling, materials collation, minutes distribution, and follow-up tracking
● Liaise with HR, Finance, and Operations to compile board-ready reports and presentations
● Maintain confidentiality on sensitive matters, including workforce data, financials, and strategic plans
Travel & Events
● Organize domestic and international travel itineraries, visas, and logistics
● Plan and execute leadership events and any related offsites for the leadership team and the Board
Office & Administrative Operations
● Manage expense reports, vendor coordination, and office administration tied to the CEO's office
● Maintain organized digital and physical filing systems for contracts, correspondence, and confidential documents
Qualifications
● Bachelor's degree in Business Administration, Communications, or a related field
● 10-15 years of experience as an Executive Assistant supporting C-suite, Sr. level executives, ideally in an MNC environment
● Proven experience coordinating across international time zones (India–US preferred)
● Exceptional written and verbal communication skills
● High proficiency in MS Office (Outlook, Word, Excel, PowerPoint) and calendar/scheduling tools; comfort with travel and expense platforms and modern AI-enabled productivity tools
● Strong discretion and judgment in handling confidential and sensitive information
● Ability to multitask, prioritize, and remain composed under pressure
Preferred Attributes
● Prior experience supporting leadership in a healthcare or hospital, technology environment
● Familiarity with board governance processes and materials preparation
● Experience supporting a CEO through periods of organizational change or rapid growth
What Success Looks Like in the First 90 Days
● Take full ownership of the CEO's calendar and build a clear picture of priorities, key relationships, and recurring commitments
● Establish reliable systems for correspondence triage, meeting preparation, and follow-up tracking
● Map the board and leadership meeting cadence and get ahead of the next quarterly cycle
● Become a trusted, responsive point of contact for internal and external stakeholders engaging with the CEO's office and the leadership team
