- Manage all product enquiries and provide timely, accurate, and professional responses to existing and prospective clients.
- Ensure consistent follow-up with clients through clear and professional email communication.
- Provide product details, lead times, expiry information, technical information, and other relevant documentation according to client requirements.
- Maintain accurate records of enquiries, quotations, orders, customer communications, and follow-up activities.
- Conduct monthly or quarterly analyses of enquiries against converted orders to support business growth and sales strategies.
- Coordinate with Procurement, Logistics, Regulatory, Quality Assurance, Warehouse, and Finance teams to ensure efficient customer support and order fulfilment.
- Manage the complete supply cycle, from initial enquiry and order receipt through shipment execution and post-shipment follow-up.
- Process customer orders accurately, ensuring that all client-specific requirements are documented and fulfilled within the agreed timelines.
- Prepare and issue Proforma Invoices based on confirmed customer orders.
- Coordinate with the Procurement team to place and monitor product orders.
- Monitor customer payments, follow up on outstanding invoices, and support the timely collection of receivables.
- Coordinate with the Warehouse and Logistics teams to plan and execute shipments efficiently.
- Ensure timely shipment processing and the accurate preparation of shipping documentation, including commercial invoices, packing lists, export permits, and other required documents.
- Track shipments and provide clients with regular status updates through to final delivery.
- Review customer orders daily and promptly inform clients of any changes, delays, or issues affecting delivery.
- Resolve customer issues efficiently, including delivery discrepancies, documentation concerns, and shipment delays.
- Manage export and import permits by monitoring permit status and submitting export applications to NCS.
- Address customers’ technical and commercial enquiries promptly and coordinate with the relevant internal teams to provide appropriate solutions.
- Work closely with Logistics, Procurement, Regulatory, Finance, and other internal departments to ensure smooth transactions and high-quality customer service.
