Role Objective
To be the Director’s trusted right hand — protecting their time, managing the flow of information and decisions, and ensuring the highest-priority work moves forward without friction, so the Director can focus on strategy, fundraising, and technology.
Role Overview
A high-trust, high-ownership role at the center of a fast-moving deep-tech company. You will manage the Director’s calendar, communications, travel, and priorities while acting as gatekeeper, coordinator, and problem-solver across internal teams and external stakeholders — investors, board members, government and space-agency contacts, partners, and vendors. The role demands discretion, sharp judgment, and the ability to operate independently as priorities shift with mission and funding timelines.

Key Responsibilities
Calendar & Time Management
- Own and optimize the Director’s calendar; schedule and prioritize meetings, resolve conflicts, and protect deep-work time.
- Prepare the Director for every meeting with agendas, briefing notes, and background on attendees, across time zones.
Communication & Correspondence
- Triage the inbox; draft, review, and respond to emails and messages on the Director’s behalf.
- Act as the first point of contact for the Director's office; screen and route requests, filtering what needs attention.
- Draft high-quality internal notes, external correspondence, investor updates, and presentation content.
Meeting & Stakeholder Coordination
- Coordinate leadership, board, and investor meetings; prepare materials and capture minutes, decisions, and action items.
- Track follow-ups to closure, holding internal owners accountable to deadlines on the Director's behalf.
- Manage communication with high-value stakeholders (investors, board, government contacts, partners) with professionalism and discretion.
Travel & Logistics
- Plan complex domestic and international travel — flights, visas, accommodation, transport, and detailed itineraries.
- Coordinate logistics for conferences, launches, site visits, and off-sites; manage expenses and reimbursements.
Operations & Project Support
- Drive special projects and cross-functional initiatives on the Director’s behalf, including investor due-diligence coordination.
- Maintain organized, confidential filing of documents and records; prepare reports and decks for reviews and updates.
Office & Personal Support
- Manage select personal tasks and appointments; liaise with finance, HR, legal, and admin to close loops.
- Anticipate needs and proactively solve problems before they escalate.
Experience & Background
- 2–6 years as an Executive Assistant or in a similar high-responsibility role, ideally supporting a Director or C-level executive.
- Experience in a startup, deep-tech, or high-growth environment preferred; interest in space/technology is a plus.
- Bachelor’s degree or equivalent practical experience, with a proven track record of handling confidential information discreetly.
- Flexibility to travel domestically and internationally, as required, to support the Director in business meetings, events, and strategic initiatives.
