Operations Executive – TrekNomads
The Operations Executive is a full-time, on-site role based in Bengaluru, responsible for managing day-to-day operational activities that support TrekNomads’ treks and adventure experiences. This role coordinates trek itineraries, bookings, transportation, accommodation, and vendor relationships to ensure seamless execution of departures. The Operations Executive will handle communication with participants, address queries, share pre-trek information, and provide timely updates before and during trips. The role also involves tracking operational performance, maintaining documentation, optimising processes, and collaborating with internal teams to improve service quality and participant experience. Occasional field visits to trek locations may be required to oversee operations and ensure standards are maintained.
CTC: 2,40,000 – 4,20,000 INR per annum
Key Responsibilities
1. Trek Operations Support
- Pre-Trek: Assist with trekker onboarding by sending out welcome kits, WhatsApp updates, and gear checklists. Track and collect necessary documents, IDs, and medical forms for trekking permits.
- During Trek: Serve as the primary point of contact for daily updates from ground teams. Monitor batch progress and immediately flag any delays, weather issues, or emergencies to the Operations Manager.
- Post-Trek: Send out and compile post-trek feedback forms. Manage the digital delivery of trek photos, videos, and completion certificates to participants.
2. Vendor & Booking Coordination
- Accommodations: Call and email our network of hotels, homestays, and campsites to confirm batch bookings, adjust headcounts, and process advance payments.
- Transport: Book vehicles for pickups, drops, and transit. Maintain a tracker of driver details and share them with the batches on time.
- Ground Staff Tracking: Coordinate with state leads to ensure Trek Leaders, guides, and support staff have been assigned and notified of their schedules.
3. Data Entry & CRM Management
- CRM Upkeep: Ensure all trekker data, payment statuses, and communication logs are accurately updated in the CRM daily.
- Reporting Support: Compile data on trekker satisfaction scores and post-trek expenses to help the Operations Manager prepare P&L and batch analysis reports.
- Inventory Tracking: Maintain digital records of company gear and equipment (tents, sleeping bags, medical kits) used across different routes.
Requirements & Skills
- The Toolkit: Strong proficiency in Microsoft Excel/Google Sheets (filtering, basic formulas, formatting) and Word. Comfortable learning and using CRM systems and daily communication tools.
- Operational Execution: Prior experience in data entry, customer support, or operations, preferably in travel, hospitality, or events.
- Communication: Excellent verbal and written skills. You must be polite and reassuring when answering trekker queries, and clear and prompt when confirming details with local vendors.
- Detail-Oriented & Reliable: You have a keen eye for spotting a missing permit document or a booking date error before it becomes a problem on the ground.
- Passion for Trekking: A genuine love for the outdoors, mountain culture, and the travel industry is a massive plus!
Qualifications
- Candidates should possess strong Operations and Operations Management skills to coordinate treks, logistics, and vendor partnerships effectively.
- Candidates should possess excellent Communication and Interpersonal Skills to interact with participants, team members, and external stakeholders in a professional manner.
- Candidates should possess solid Analytical Skills to monitor operational metrics, identify issues, and contribute to process improvements.
- Candidates should have good organisational and time-management abilities, with attention to detail in planning and documentation.
- Experience in travel, tourism, adventure operations, or event management is beneficial.
- Proficiency in basic office tools and online communication platforms is preferred.
- A bachelor’s degree in business, tourism, hospitality, or a related field is advantageous.
- Ability to work flexible hours around trek schedules and a genuine interest in trekking and outdoor activities are highly valued.
