Executive Assistant to the CEO
Location: Corporate Head Office, Gurgaon

Education: B.Tech in Civil Engineering (Preferred) with NICMAR (PGP/PGDM or equivalent) – Mandatory
Role Purpose
The Executive Assistant to the CEO serves as a strategic partner, providing high-level executive, operational, and project coordination support to the Chief Executive Officer. This role requires a strong understanding of the highways and infrastructure sector, particularly EPC, HAM, and BOT project execution models, along with the ability to drive cross-functional coordination, monitor business performance, and ensure timely execution of key strategic initiatives.
The ideal candidate will combine technical knowledge with exceptional organizational, analytical, and communication skills to enable informed decision-making and efficient execution across the organization.
Key Responsibilities
Executive & Strategic Support
- Provide end-to-end executive support to the CEO, including calendar management, meeting planning, travel coordination, and correspondence.
- Prepare executive briefs, presentations, meeting agendas, and minutes for Board meetings, management reviews, and leadership discussions.
- Ensure timely follow-up and closure of action items arising from CEO reviews and strategic meetings.
- Act as a liaison between the CEO's Office and internal as well as external stakeholders.
Project Monitoring & Business Coordination
- Monitor project progress across EPC, HAM, and BOT projects and provide timely updates to the CEO.
- Track key project milestones, identify risks, monitor critical issues, and escalate deviations with recommended action plans.
- Coordinate with project teams, functional departments, consultants, and regional offices to ensure seamless execution of strategic priorities.
- Support project appraisal, due diligence, and business review processes.
MIS & Performance Reporting
- Develop and maintain executive MIS dashboards, project status reports, and performance analytics.
- Consolidate business data from multiple functions to provide meaningful insights for management decision-making.
- Prepare monthly, quarterly, and ad hoc reports highlighting project performance, financial indicators, operational metrics, and business risks.
Stakeholder Management
- Coordinate with senior management, clients, government authorities, lenders, consultants, and regulatory agencies, including NHAI and other infrastructure stakeholders.
- Support preparation of investor presentations, lender updates, Board papers, and business review documentation.
- Maintain effective communication channels between the CEO and key internal and external stakeholders.
Operational Excellence
- Drive cross-functional coordination to ensure timely implementation of strategic initiatives.
- Maintain confidentiality while handling sensitive business information and executive communications.
- Support organizational planning, leadership reviews, and special projects assigned by the CEO.
Candidate Profile
The successful candidate will be a technically competent and highly organized professional with experience supporting senior leadership in large infrastructure organizations. The individual should possess strong business acumen, analytical capabilities, stakeholder management skills, and the ability to work effectively in a fast-paced executive environment.
Required Experience
- 10–12 years of experience in highways, roads, bridges, or infrastructure construction organizations.
- Proven experience supporting CXO-level leadership, preferably within EPC, HAM, or BOT project environments.
- Strong exposure to project coordination, business reviews, MIS reporting, and executive office functions.
- Experience in preparing executive presentations, Board papers, and strategic business reports.
- Excellent coordination, planning, problem-solving, and follow-up skills.
- Advanced proficiency in MS Excel, PowerPoint, and Word.
Educational Qualifications
- B.Tech in Civil Engineering (Preferred).
- NICMAR qualification (PGP/PGDM or equivalent in Construction Management) – Mandatory.
- Certification in Project Management (PMP, PRINCE2, or equivalent) will be an added advantage.
