Key Responsibilities:
1. Mock Test Planning & Execution
- Plan, schedule, and confirm mock tests for all applicable batches well in advance, ensuring no clashes with the academic calendar.
- Coordinate with faculty and the academic team for timely preparation of question papers, answer keys, and evaluation guidelines.
- Communicate the complete mock test timetable to students ahead of time and confirm the exam mode- online, offline, or hybrid for every test.
2. Student Participation & Follow-up
- Track student attendance for every mock test and maintain a detailed record of those who completed, missed, or partially attempted.
- Follow up daily via calls or messages with absent or irregular students to understand reasons and push for participation.
- Escalate cases of repeated absenteeism to the academic or support team with proper documentation.
3. Result Collection & Performance Tracking
- Collect evaluated answer sheets and marks from faculty promptly and update them accurately in the tracker or ERP within 3 working days.
- Share results with students and parents wherever applicable, ensuring transparency and timely communication.
- Analyze performance data to identify weak students and maintain trend reports to monitor progress over time.
4. ICU Batch Monitoring
- Closely monitor ICU batch students on a daily basis, tracking attendance, study discipline, test performance, and overall seriousness.
- Ensure each student follows the designated ICU study plan and coordinate additional academic support for those who are struggling.
- Submit weekly student-wise progress reports to management and flag non-serious students for intervention.
5. Communication
- Proactively inform students about upcoming mock schedules, exam rules, results, and post-test feedback sessions well in advance.
- Follow up with parents of low-performing or frequently absent students to keep them informed and involved in the improvement process.
- Maintain professional, clear, and consistent communication across all touchpoints with zero gaps related to test schedules or results.
6. Team Coordination
- Coordinate with faculty for end-to-end test execution, from paper setting and printing to evaluation, feedback sessions, and remedial classes.
- Work with the operations and support team to ensure classrooms, invigilation arrangements, online test links, and all logistics are in place before each mock.
- Liaise with the academic head and management for periodic performance reviews and to stay aligned on priorities.
7. Data Management & Reporting
- Maintain fully updated and accurate trackers covering mock schedules, student attendance, marks, performance trends, absentee follow-ups, and parent communication.
- Prepare and submit weekly and monthly reports to management on time, ensuring data accuracy of 95% or above at all times
8. Student Improvement
- Regularly identify students who are consistently scoring low and recommend targeted interventions such as remedial classes, revision sessions, or one-on-one mentoring
- Create a structured improvement action plan for every weak student and track whether the recommended actions are being completed.
- Ensure every student receives clear and constructive feedback after each mock so they understand their gaps and know what to work on.
